SUMMARY DESCRIPTION

Under general supervision of the Front Office Supervisor, performs a variety of duties including serving as a point person for the public. Reading incoming material and sorting material according to designated systems. Files records as required and mandated by governing bodies or according to subject matter or other systems. May also verify accuracy and compliance of material to be filed. May also enter information on records.

REPRESENTATIVE DUTIES

The following duties are typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices.

1. Perform a variety of office work in support of the Village’s local enforcement programs and statutes.

2. Must exhibit patience and tact in dealing with co-workers and the public.

3. Must be able to follow detailed instructions and communicate effectively both orally and in writing.

4. Receive and process resident water bills.

5. Receive and process Business Licenses.

6. Performs monetary customer transactions required by residents and customers; ability to perform cash transaction reports at the beginning and closing of each day.

7. Maintain Record keeping system.

8. Must be organized and able to work to specified deadlines.

9. Must be able to work independently with minimal supervision.

10. Prepare evidence in support of legal actions taken by the Village.

11. Prepare a variety of written reports, documentation, memos, and correspondence related to Village activities.

12. Understand municipal terminology and methodology.

13. Understand and follow work rules and procedures.

14. Uphold the Village’s non-disclosure, confidentiality policies, and agreements

15. Operate a computer to enter, process and acquire data relative to Village documentation.

16. Add new material to file records, and create new records as necessary.

17. Answer questions about records and files.

18. Assign and record or stamp identification information or codes in order to index materials for filing.

19. Manages inactive storage files.

20. Find and retrieve information from files in response to requests from authorized users.

21. Keeps accurate records of materials filed or removed using appropriate logbooks or computer documents.

22. Perform periodic inspections of materials or files in order to ensure correct placement, legibility, and proper condition.

23. Design forms related to filing systems and scan or read incoming materials in order to determine how and where they should be classified or filed.

24. Review and analyze actions at the end of each day, week, month, and year to determine how to better utilize time, and plan more effectively.

25. Perform related duties as required, including but not limited to, general office duties such as typing, operating office machines or online systems, sorting mail, and other duties as assigned.

QUALIFICATIONS

The following generally describes the knowledge and ability required to enter the job and/or learned in a short period of time in order to successfully perform the assigned duties.

Knowledge of:

*Effective public relation practices.

*Principles and procedures of records keeping.

*Methods and techniques of business correspondence and report preparation.

*Modern office procedure, methods, and equipment including computer and supporting word processing and spreadsheet applications.

Ability to:

*Independently perform a full range of Administrative Assistant file duties.

*Respond to inquiries, in a timely and tactful manner.

*Maintain accurate financial records and receipting for monetary transactions.

*Prepare accurate and detailed documentation of file maintenance.

*Maintain complex logs, records, and files

*Research, compile and collect data.

*Prepare clear and concise technical reports.

*Work independently in the absence of supervision.

*Understand and follow oral and written instructions.

*Communicate clearly and concisely, both orally and in writing.

*Maintain confidentiality requirements, including but not limited to all Privacy laws and FOIA requirements.

*Establish and maintain effective working relationships with those contacted in the course of work.

Education and Experience Guidelines -Any combination of education and experience that would likely provide the required knowledge and abilities is qualifying experience; a typical way to obtain the knowledge, skills, and abilities would be:

Education/Training: Equivalent to completion of the twelfth grade supplemented by specialized training and/or college level coursework in criminal justice, public administration, business administration, or other related field.

Experience:

· Office Environment background required.

· Municipal or governmental experience preferred.

License or Certificate: Possession of an appropriate, valid driver’s license.
