Job Information
Job Summary:
The Hanna Holborn Gray Special Collections Research Center is the repository for the Library's rare, valuable, and fragile materials. The care and stewardship of these important collections is a shared responsibility in which the Collection Management Coordinator plays a central role. Under the direction of the Head of Collection Management, the Coordinator is responsible for ensuring the safe, efficient, and accurate shelving, storage, and physical maintenance of all Special Collections rare books, manuscripts, and archives in all formats. The Coordinator responsibly manages Special Collections shifts within all stack and storage spaces, including SCRC Regenstein stacks and Mansueto Automated Storage and Retrieval (ASR) stacks. The Coordinator creatively develops plans for to accommodate the shelving of large incoming collections of archives, manuscripts, and rare books. The Coordinator effectively oversees Special Collections shelf reading projects and supervises preventative preservation projects for rare and fragile materials. The Coordinator manages the shelving of new SCRC book acquisitions in Regenstein and Mansueto, and the re-shelving operations in the ASR. The Coordinator supervises student stacks staff (ca. 1 FTE).
Responsibilities:
  • SCRC's principal contact for ASR operations; oversees the loading, circulation, shelving, and auditing of books and archival boxes stored in the ASR; troubleshoots operational issues.
  • Supervises student Collection Management Pages; hires, trains, schedules; assigns, monitors, and evaluates work.
  • Oversees new book acquisition shelving operations (preshelving); trains Collection Management Pages on shelving; maintains quality control.
  • Proactively determines space needs to prevent storage backlogs; plans and executes on-going shifts; maintains quality control and detailed records.
  • Plans and supervises shelf reading projects, documents all work, and produces reports.
  • Conducts systematic searches for missing items and updates Library catalogue records.
  • Oversees the ongoing systematic cleaning of secure collection spaces.
  • Updates wayfinding and shelving signage.

Additional Requirements
Education, Experience, or Certifications:
Education:
  • Bachelor's degree required.

Experience:
  • Two (2) years of related library experience required.
  • Two (2) years of experience handling rare book, archival, or fine art materials required.
  • At least one (1) year of experience overseeing the work of others required.
  • At least one (1) year of experience using Library of Congress classification numbering system required.

Technical Knowledge or Skills:
  • Demonstrated ability to work independently, assess priorities, plan aspects of daily work, and perform time-dependent tasks promptly, required.
  • Demonstrated analytical skills and ability to exercise independent judgment required.
  • Demonstrated ability to conceptualize, plan, and execute a range of projects required.
  • Good working knowledge of Microsoft Office applications required.

WorkingConditions and Physical Requirements:
  • Ability to handle rare and fragile materials in a safe and sensitive manner required.
  • Ability to repeatedly lift 50-pound boxes in tight spaces, from floor to shelves of varying height, required.
  • Ability to load and maneuver fully loaded utility carts and shipping dollies required.
  • Ability to work for extended periods at computer workstation required.

Pay Range:
  • $19.17 - 28.06 hourly
