Scheduling, Travel & Logistics Coordinator

Job Description:
This outstanding opportunity is perfect for someone who loves getting things done, moving fast, and managing details across a variety of areas. This position will directly support the Director of Operations across a variety of scheduling and logistics functions pertaining to the training and classroom operations of the company (which extend across 50+ locations nationwide). This role will have primary accountability for instructor scheduling, inventory management, materials shipping, data entry/tracking/reporting, and travel/venue booking for more than 40 nationwide classes & instructors. This role will provide assistance as needed for other logistics and administrative functions such as purchasing, filing, organization, shipping/receiving, process documentation and more. This position requires outstanding organizational skills, computer skills, multi-tasking skills, and attention to detail. Naturally, this position requires an individual who enjoys wearing many hats and has the mindset that no task is too big and no task is too small.
Duties Include:
· Coordinating and executing a broad range of logistics functions, including shipping, travel, inventory, warehousing, and materials.
· Scheduling resources and team members, including booking instructors for nationwide classes
· Researching & booking instructor travel including flights, hotels, rental cars, etc
· Booking classroom venues for seminar classes around the country
· Materials inventory and stockroom management/organization
· Shipping materials and resources to class locations and instructors in advance of classes
· Collaborate with internal teams and external partners to ensure smooth operations and timely delivery of goods
· Purchasing/ordering materials and supplies for training & classroom needs
· Printing, tracking and shipping class certificates and class documentation
· Receiving, processing and filing/e-filing final class paperwork and invoices
· Entering logistics and inventory data into NetSuite ERP system
· Communicating with contract & full-time instructors regarding schedules, resources, and travel
· Supporting the Director of Training Operations in various logistics efforts and administrative activities
· Following current processes and evaluating for improvement

· Physical requirements:
o Must be able to sit for extended periods of time, lift packages of various weights and sizes, see near and far, and work with a computer monitor on a daily basis
o Required to bend, sit, stand and lift to perform job effectively
· Microsoft Office literacy (Word, Excel, Outlook, Teams)
Desired Skills:
· Prior experience in Logistics, Scheduling, Coordination or the equivalent
· Eagerness for continued growth and confidence to propose innovative ideas
· Experience with NetSuite (and/or other ERP systems) is a plus
· Associates or Bachelor degree a plus
Minimum Qualifications:
· High School diploma or GED
· US Citizenship
· Ability to pass and maintain a clear background check and drug screening

Pay: $22.00 - $24.50 per hour
