The Sales Operations Senior Associate plays a crucial role in supporting the sales team by managing scheduling, communication, and research tasks. This position requires a highly organized individual who can efficiently handle multiple tasks and provide exceptional support to enhance the sales process while also communicating effectively with leadership and prospective clients (as necessary when responding to the lead inbox and for scheduling). Please note, the Sales Operations Senior Associate role is not customer facing, although you will have exposure to clients/potential clients throughout a pitch cycle.
Responsibilities
- Meeting Coordination: Schedule and organize sales meetings, ensuring all parties are informed of timings and agendas. Coordinate logistics for meetings, including virtual meeting setup or physical meeting space arrangements and special touches.
- Communication Management: Act as the first point of contact for inbound sales emails. Triage emails to the appropriate team members and ensure timely responses represent the company and the team in an exemplary, professional, and positive way, working productively and promptly toward solutions.
- Customer Research: Conduct in-depth research on potential sales customers to provide the sales team with relevant information that could aid in tailoring sales strategies.
- Sales Support: Assist with the preparation of sales presentations, proposals, and reports including proofreading. Maintain and update sales records and customer databases.
- Administrative Tasks: Perform administrative duties such as database management, document management, managing calendars, and handling sales-related inquiries, meeting inquiries, meeting scheduling, and more.
- Process Improvement: Identify areas for process improvement within the sales coordination function and suggest enhancements.
- Develop and manage a high-volume and fast-paced project roster, ensuring cross-functional initiatives are delivered on time and to completion.
- Provide hands-on support for meetings and offsites, including at times, the preparation of agendas and content, compiling presentation materials from various team members and teams, and following up, as appropriate.
- Document meetings, capturing key takeaways, decisions, next steps, and action items for effective follow-up and progress tracking of milestones and deliverables.
- Manage special projects as assigned by the VP.
- Populate and maintain data and information across all internal platforms, including NetSuite, Workday, and various shared docs and other shared spaces to ensure consistency and optimal collaboration.
- In applicable external communications, represent the company, the team, and the VP in an exemplary, professional, and positive way, working productively and promptly toward solutions.
Required Skills & Experience
- Bachelor's degree in Business Administration, Marketing, or a related field.
- Proven experience in sales support, coordination, or a similar administrative role in a fast-paced, high-growth environment
- Top-tier project management skills, with the ability to manage multiple projects at a time
- Ability to adjust to changes and unexpected events, comfort with ambiguity, and ability to pivot quickly as needed
- Excellent communication and interpersonal skills, with the ability to influence and build relationships at all levels, internally and externally
- Exceptional attention to detail, inclusive of spelling and grammar
- Deep understanding of managing up and working with Executives
- Proven track record of delivering results and driving progress
- Highly proficient in MSOffice, Keynote, iCloud and GSuite
