Position Summary

The Risk & Compliance Manager supports the HR Department This individual will be directly responsible for accurate volunteer processing, high-volume data entry, tracking and reporting of sensitive, confidential information into the volunteer database system and various spreadsheets related to other projects as assigned. The incumbent will coordinate and oversee the centralized volunteer process for all YMCA Family Centers and serve as the initial contact for all incoming Risk related incidents and will escalate base on severity and follow up needs.

Job Responsibilities

  • Responsible for the entry, maintenance and integrity of data within various systems and databases ensure that the submitted forms are accurate and entered in the systems correctly and timely by the applicable deadlines. Follow up with HR Team and or Operations staff when appropriate.
  • Assists with HR/Risk procedural manuals; recommending updates and reviews to ensure accuracy. 
  • Management of YMCA incident reporting process via review of daily Incident Reports and escalates as needed to leadership. Performs regular follow up on daily incident reports that require additional information.
  • Creates quarterly analysis of incidents, losses, reporting out of data and trends to the Risk Director.
  • Audits volunteer, Evidence-based health programs, and other risk/compliance data for accuracy and follows proper procedures to resolve discrepancies.
  • Effectively identifies and escalates problems to the Sr. Director of Employee Relations & Risk Management and/or Association Office HR team as they occur and takes appropriate steps toward resolution.
  • Initiates and maintains all project updates for assigned areas, interacting with the Family Center operations directly where necessary. Proactively advises supervisor and Operations staff of any changes or issues in programs/projects that are centralized including but not limited to Silver Sneakers, Volunteer Management, and YUSA Evidence-based programs.
  • Initiates the execution and completion of all background checks of volunteers in accordance with the requirements of the position, following up with the candidate and vendor where necessary to ensure completion within the guidelines. Escalates any alerts for clearance decision to Risk Management Director and schedules all adverse action meetings providing data prior to the meeting.
  • Contacts Family Center operations to escalate volunteer background clearance and training required where process is not being performed within recommended timeframe. Advises Risk Management Team and Compliance Office of reasons for delays. Tracks and trends delayed report data. 
  • Assists volunteer candidate in managing the logistics of the background check and mandatory training/education processes. 
  • Ensures compliance with State and Federal regulation as well as local facility accreditation agencies and coordinates volunteer process according to position per YMCA Volunteer Handbook. 
  • Communicates with operations staff to ensure timely completion of clearance for volunteering as well as all data due to YUSA.
  • Ensures privacy of records in all projects where appropriate, including confidentiality and protection of sensitive reports or information.
  • Maintains a proactive professional relationship with Family Center Operations Staff, HR, Finance, IT and Association Office departments. 
  • Assist with the YMCA internal and external safety training programs ensuring internal compliance with federal regulations and YMCA policy.
  • Assist with Safety Certification & mandatory annual training & Compliance in the Family Centers.
  • Assist in the data collection, analysis and reporting process of key projects as assigned.
  • Manages the driver and vehicle safety program, including oversight of driver's compliance, trainings and resources.
  • Monitor and report on all volunteer clearances, using the VolunteerMatters software, related to individual position requirements as outlined in the YMCA Volunteer Handbook.
  • Serve as a member of the Child Protection Team. Assists with implementation and execution of key programs trainings, screenings and notifications. Programs include but are not limited to Membership screening, Volunteer screening and education, Staff education and Culture of Safety Initiatives.
  • May participate in project work as assigned. Takes on additional Risk/Compliance Duties when required.
  • Oversee the Workers Compensation process, follows up on all workers comp incidents, tracking and concerns. 
  • Completion of OSHA reporting requirements and compliance. 
  • Serve as a member of the Safety Committee and the Workers Comp Committee, including leading and facilitating training initiatives that results in decreasing of loss ratios down.
  • All other duties as assigned by management. 


Requirements

  • Associates degree or equivalent required. 
  • Minimum three years' experience in managing risk management incident reporting of claims and compliance management required.
  • Minimum two years' experience in a support role focused on programs and processes including data preferred.
  • Experience with database administration. 
  • Ability to problem solve and manage last minute change requests in calm and professional manner. 
  • Experience with Sales Force, VolunteerMatters, & Workers Comp Claims is a plus.
  • Experience working with background clearances and/or screenings, a plus. 
  • Proficiency with computers, including Microsoft Excel.
  • Must possess a strong attention to detail, analytical and problem-solving abilities.
  • Ability to build strong relationships and work effectively with others; across the organization. 
  • Ability to effectively partner and collaborate with peers to deliver dynamic candidate and hiring manager experiences.

Work Environment & Physical Demands

  • Must be willing to work a flexible schedule, which may include weekends and holidays as needed.
  • Must be willing to work an on-call schedule rotation as required.
  • Must be willing to travel within Central Florida. Must have a valid Driver license. The employee is required to have visual acuity to operate motor vehicles.
  • The noise level in the work environment is usually moderate. 
  • The physical activities of this position include: stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, feeling, and repetitive motions. Talking is required for expressing or exchanging ideas by means of the spoken word. Hearing is required to perceive information at normal spoken word levels, with or without correction.
  • Required to sit or stand for extended periods of time while demonstrating manual dexterity in order to accurately work on the phone, computer keyboard, and other equipment. 
  • The employee must be able to perform light work: exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
  • The employee is required to have close visual acuity, along with the visual acuity to determine the accuracy, neatness, and thoroughness of the work assigned, preparing and analyzing data and figures, transcribing, viewing a computer screen, extensive reading, or to make general observations of facilities or structures. 
  • Must possess auditory and verbal capabilities in order to adequately communicate via phone and in person.
  • The employee is not substantially exposed to adverse environmental conditions.
