Job Description
The Retirement Program Manager will be a key member of the Benefits team and will report to the Sr. Director, Benefits. The primary responsibilities include the day-to-day operations of the plan as well as the design, governance, compliance, and education strategy of the 401k plan and financial well-being programs.
Responsibilities
Retirement Plan
- Serves as subject matter expert on the NVA 401k Plan and manages Company matches and other Company contributions approving all for accuracy and overseeing timely posting into the Plans
- Collaborate with finance to ensure budgeting and forecasting activities are up to date
- Ensure ERISA, DOL, PBGC, and IRS compliance for all Plans, including, but not limited to, the Annual Compliance Testing
- Monitor and ensure all retirement audits, reconciliations, valuations and fundings are completed accurately and timely, including any necessary corrections
- Confirm all documents relating to the Plans are updated appropriately and timely
- Collaborate with vendors on communications and educational training, including onsite meetings and communication development, as needed
- Assist with the completion of benefits documentation, such as original and amended plan documents and agreements
- Schedule Quarterly Committee Meetings, assist with setting agendas and completing follow up items
- Manage escalated participant inquiries to ensure efficient and courteous resolution
- Work with the Sr. Director, Benefits, consultants, and other team members on the development of benefit programs and providers. Participates in vendor negotiations and renewals.
Other Duties
- Collaboratively works with other members of HR, Payroll, HRIS, and Finance/Accounting teams to deliver benefit programs
- Analyze, interpret, and create reports regularly or as needed
- Support integration of newly acquired sites to NVA Benefit Plans
- Maintain process documentation and drive continuous improvement efforts supporting benefit operations
- Promotes a respectful and inclusive work environment
- Regular and reliable attendance
- Performs other duties as required
- Delivers benefits education group sessions in person and virtually
- Hosts benefits engagement forums, seminars and events
Requirements
- Bachelor’s degree, preferably in Human Resources or Business Administration and a minimum of 8 years of professional experience in benefits administration for both health and welfare and retirement plans
- Knowledge of benefit programs, including ERISA, COBRA, FMLA, ADA, ACA, Section 125, HIPAA, 403(b) Retirement Savings Plan, and Medicare
Knowledge, Skills, and Abilities
- Understanding of applicable federal and state regulations, filing, and compliance requirements
- Strong MS Office Skills. High-level proficiency with Excel (e.g., v-lookups, pivot tables, if/then formulas)
- Effective time management to complete operational tasks; skills with the ability to prioritize and manage deadlines
- Strong organizational skills, demonstrated initiative, and ability to work effectively in a fast-paced, hands-on, deadline-driven environment
- High accuracy, attention to detail, analytical and numerical skills
- Strong problem-solving and technical skills
- Basic familiarity with accounting fundamentals
- Must work effectively as part of a team and independently
- Ability to foster effective working relationships and build consensus
- Ability to work effectively and commit to excellent customer service with individuals at all levels of the organization
- Ability to maintain a high level of confidentiality and exercise discretion; maintain confidentiality of sensitive information
- Excellent and effective written and verbal communication skills
- Experience with HRIS and Payroll systems required
- Familiarity in digital and cloud IT products
