POSITION DESCRIPTION: Assist Right of Way Records and Funds Unit in processing and evaluating information against a set of standards in order to utilize the Right of Way Management System (RWMS). Assists with the preparation and record maintenance of various Right of Way, Contracts, and Deposit Invoice Transmittals as required. Reviews and retrieves critical information from Official records files for internal stakeholders, purging records files, preparing records for scanning, and storage into digital/electronic media. Assists in records retention processes including maintaining document status, retention schedule, and destruction requests pursuant to applicable procedures. Assists unit in processing and evaluating information against a set of standards in order to use the Right of Way Management System (RWMS) for various right of way processes, reporting, and document assembly.

Extracts critical data from documents and files for appropriate entry into the Right of Way Management System (RWMS). Runs exceptions reports for data entered to ensure complete entry.


Maintain and set up official records files which contain the hard copy of information pertaining to the Right of Way Process. Provides research and technical assistance on various records as needed including responses to Ch. 119, F.S., public records requests. Performs filing duties necessary to keep files updated and current. Maintains a log of official records check-out and return by authorized users.


Composes, proofreads, corrects, and assembles routine correspondence and outgoing Records Management mail. Cross references information among related files.


KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of the principles and techniques of Records Management.
  • Knowledge of Right of Way Records and Funds Management policies and procedures.
  • Knowledge of the methods of data collection and analysis.
  • Skilled at operating a personal computer and in the use of Microsoft WORD and EXCEL.
  • Ability to track specific activities by utilizing database and/or spreadsheet applications.
  • Ability to understand and apply applicable rules, regulations, policies and procedures.
  • Ability to follow instructions.
  • Ability to perform basic arithmetical calculations.
  • Ability to communicate effectively.
  • Ability to plan, organize, coordinate work assignments and meet deadlines.
  • Ability to review data for accuracy and completeness.
  • Ability to prepare reports and correspondence.
  • Ability to work independently.
  • Ability to establish and maintain effective working relationships with others.

OTHER JOB RELATED REQUIREMENTS:

This position has vendor invoice/warrant processing responsibility (215,422 F.S.).

This position will be required to respond before, during, and following emergency situations.


MINIMUM QUALIFICATIONS: High School Diploma or certificate of High School Equivalency.
