Job Summary
The Records Specialist provides information governance services to the firm. The Specialist adheres to information governance procedures. The Specialist provides quality customer service and ensures all assignments are completed accurately and efficiently and displaying professionalism and teamwork.
Job Responsibilities
- Reviews materials for destruction to ensure appropriate and accurate retention of information.
- Assists users with requests for information or reports from firm information systems.
- Interacts with internal and external clients to answer inquiries regarding firm records and data.
- Performs document review prior to sending materials outside the firm to provide appropriate information while protecting both client and firm interests as well as confidentiality.
- Performs billable review of client materials.
- Updates firm systems to reflect the status of process and information assets.
- Other duties as assigned.
Knowledge, Skills and Abilities
- Demonstrated ability to communicate clearly and effectively, both orally and in writing, with supervisors, Records staff and clients.
- Demonstrated ability to provide client service requiring tact and courtesy.
- Demonstrated ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements, including appropriate handling of sensitive or confidential information.
- Advanced knowledge of automated records management systems and the ability to manipulate and retrieve data.
- Demonstrated ability to work effectively with others in a cooperative, enthusiastic and friendly manner to accomplish position functions and participate in team efforts.
- Demonstrated operational knowledge of SQL as well as other specialized governance tools.
- Demonstrated basic knowledge of MS suite of products such as Word, Excel, PowerPoint, Access.
- Ability to safely lift, move and carry boxes without assistance, weighing up to 40 lbs.
- Overtime may be required.
Education
The position requires a High School Diploma or GED.
Experience
The position requires a minimum of three to five (3 to 5) years of increasingly responsible, directly related experience during which knowledge, skills, and abilities applicable to the position were demonstrated.
