POSITION SUMMARY:
Provides professional coverage of the receptionist area including answering and routing of incoming telephone calls and serving as first point of contact to members, clients, and other visitors to the Credit Union’s corporate offices.
ESSENTIAL POSITION FUNCTIONS:
Answers all incoming phone calls to the switchboard, determines purpose of callers, and forwards calls to the appropriate personnel or department.
Takes and delivers messages or transfers calls to voice mail as appropriate when executives and managers are unavailable.
Answers questions about the organization, represents Wescom with a professional demeanor, and provides callers with pertinent information as needed.
Welcomes on-site visitors to the executive office area, determines nature of business, and announces to appropriate personnel.
Monitors visitor access and responds calmly and professionally to crisis situation, contacting the appropriate executives, managers, and authorities as needed.
Maintains reception area and assists in the upkeep and overall appearance of reception area in the lobby. Exhibits and encourages professional standards of conduct with focus on continuous improvement.
Performs data entry of member and employee survey information, and maintains various rosters, such as employee phone roster.
EDUCATION AND EXPERIENCE:
A minimum of two years receptionist experience preferred.
OTHER SKILLS AND ABILITIES:
Strong communication skills. Excellent verbal and interpersonal skills.
Poise, good judgment, friendliness and sensitivity to callers and visitors. Ability to effectively transmit information and make appropriate referrals.
Must have a pleasant telephone manner, demonstrates proficiency in phone etiquette and take care of member complaints with a courteous, calm and positive attitude.
Must be able to communicate clearly and effectively with executives from other corporations. Must possess ability to communicate in a professional manner with senior management, Board members and other volunteers. Must be able to maintain strictest confidentiality of sensitive information.
Must be highly dependable and exhibit strong customer/member service and team orientation.
General knowledge of financial institutions and basic credit union operations preferred.
COMPUTER SKILLS:
Some level of proficiency in various software applications is preferred with experience in word processing and the use of spreadsheets and databases.
Proficient in Microsoft Applications (Word, Excel, PowerPoint and Outlook).
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to draw and interpret bar graphs.
