Responsibilities:
- Warmly greet and assist patients, ensuring a positive and welcoming atmosphere in the clinic.
- Manage appointment scheduling, confirmations, and handle any necessary rescheduling.
- Answer phone calls, respond to inquiries, and provide information about the physical therapy services offered.
- Maintain accurate and confidential patient records, ensuring completeness of personal and insurance details.
- Coordinate insurance verification and billing processes in collaboration with relevant stakeholders.
- Oversee the front desk operations, including handling incoming and outgoing mail, emails, and maintaining an organized reception area.
- Collaborate with the therapy team to optimize patient flow and address any scheduling conflicts.
- Process patient payments, issue receipts, and maintain meticulous financial transaction records.
- Monitor and replenish office supplies, ensuring the clinic operates smoothly on a day-to-day basis.
- Assist with basic administrative tasks, such as filing, data entry, and record-keeping.
- Address patient concerns or complaints promptly and professionally, ensuring a high level of customer satisfaction.
- Stay informed about industry regulations and uphold the clinic's compliance with relevant policies.
- Liaise with external vendors for services such as cleaning and maintenance.
- Provide administrative support to therapists and staff, fostering a collaborative work environment.
- Act as a key representative of the clinic's values and maintain a positive and professional image.
- Requirements:
- Proven experience as a receptionist or Office Manager, preferably in a healthcare or physical therapy setting.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficient in using office software and managing basic administrative tasks.
- Knowledge of medical billing procedures and experience with insurance verification.
- Ability to handle confidential information with discretion.
- Friendly and approachable demeanor with a strong customer service mindset.
- High school diploma; additional certification in office management is a plus.
