Position Summary: The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks. Must be able to welcome visitors and answer phones in a friendly, courteous, and professional manner. This position will provide day-to-day support to the human resources department. This role will ensure that employees’ concerns and needs are addressed in a fair and timely manner.
Qualifications:
· Always maintain professional appearance and demeanor.
· Ability to operate a multi-line phone, fax, copier, and other general office equipment.
· Have strong knowledge of computer skills including Microsoft office, Outlook calendar scheduling, Word, Excel, and ability to learn company software.
· Multitask while working on multiple projects at a time.
Responsibilities:
· Organize office and assist associates in ways that optimize office procedures.
· Sort and distribute communications in a timely manner.
· Assist with the recruitment and onboarding process, including, handing out applications, and helping new hires schedule orientation classes.
· Answer in-person, phone, fax, and email inquiries to obtain information for customers and internal departments.
· File and maintain hard-copy files/documents and(or) electronic files, as needed.
· Receive shipments and organize them in appropriate storage areas.
· Direct visitors and phone calls to appropriate employees
· Maintain cleanliness and organization of orientation room, entryway, and front desk area always.
· Daily administrative duties include copying, mailing, typing/computer, process records, and greeting of visitors will be required.
Requirements:
· Proven experience as an office assistant, or in another relevant administrative role.
· Working knowledge of office equipment.
· Excellent organizational and time management skills
· Excellent written and verbal communication skills
· Proficiency in MS Office
· Ability to take initiative, work independently and work with minimal supervision.
· Ability to work within a team environment.
· Ability to display a positive and helpful attitude.
· Ability to work with confidential and sensitive information.
Experience:
- Microsoft Office: 1 year (Required)
- Customer service: 1 year (Preferred)
- Administrative experience: 1 year (Preferred)
· Education: High school or equivalent (Preferred)
