POSITION OVERVIEW
The Receptionist serves as the initial contact for all callers and visitors to the organization and provides information about the Single-Family Mutual Self-Help program.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
General Reception
· Answers, screens, and directs calls on multi-line phone system in a courteous and professional manner; takes messages and /or forwards telephone calls to appropriate employee, or voicemail.
· Clears messages from voicemail each morning and delivers to appropriate employees.
· Meets and greets all visitors; determines their needs and directs them to the appropriate employee/locations.
· Effectively communicates customer issues and concerns to all applicable internal staff members.
· Opens and routes incoming mail.
· Prepares and forwards outgoing mail and packages.
· Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing as required.
· Orders and maintains supplies (office and janitorial), arranges for equipment maintenance, and keeps reception area organized.
· Collect employee automobile insurance and update and maintain spreadsheet and binder.
· Records all payments on daily check log and submits to accounting.
· Reconciles cash receipts with accounting monthly.
· Performs other duties as assigned.
Mutual Self-Help Program
· Answers customer inquiries and provides appropriate technical and/or program-related information.
· Collects Self-Help Applications and credit application fee.
· Runs credit reports for submission to Housing Counselor for review.
· Prepare and mail self-Help application status letter.
· Prepares reports and correspondence as needed.
· Maintains Self-Help interest list/data base.
· Documents all contacts, actions, and responses in customer database.
· Organizes and maintains file system, files correspondence and other records.
· Performs other duties as assigned.
QUALIFICATIONS
Prioritizing and planning work activities to use time efficiently is a must. Must be professional and approach others in a tactful manner; reacts well under pressure and treats others with respect and consideration regardless of their status or position. Be able to manage difficult or emotional customer situations and respond promptly to customer needs. Must solicit customer feedback to improve service, and respond to requests for service and assistance, and meet commitments. This individual will speak clearly and persuasively in positive or negative situations and listen and get clarification; responds well to questions, and demonstrates group presentation skills, and participates in meetings.
Education and/or Experience
· Associates Degree (A.A), two to four years related experience, or equivalent combination of education and experience.
Required Technical Skills
· Working knowledge of computers, and most commonly used business software to include, Microsoft Word, Excel, Outlook, and PowerPoint.
Required Licenses/Certifications
· Valid California Driver's license
Other Skills and Abilities
· Excellent written and verbal communication skills required.
· Maintains working knowledge of products and/or services.
· Proficient in Microsoft Outlook, Word, Excel and other office software applications.
· Strong interpersonal skills. Responding to visitors, clients, and employees in a courteous and professional manner.
· Ability to maintain a high level of professionalism in dealing with confidential and sensitive issues.
· Ability to understand and follow written and verbal instructions
· Ability to deal effectively with a diversity of individuals at all organizational levels.
· Commitment to excellence and high standards.
· Strong organizational skills; able to manage priorities and workflow.
· Types a minimum of 45 wpm.
· Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
· Must be able to speak, read, write, and understand the primary language(s) used in the workplace.
· Bilingual Spanish and English skills a must.
· Professional appearance and demeanor.
· Ability to perform diversified clerical functions and basis accounting procedures.
