I. Position Overview
This position is responsible for coordinating an efficient Customer Experience while receiving business customers, guests, and visitors at the ODD A-Lobby. The Associate will be responsible for the support and maintain the facilities/EHS/security administrative processes that pertain to visitor arrival, in additional other administrative duties.
II. Specific Duties, Activities, and Responsibilities
The Business Support / Customer Experience Coordinator has the following job duties:
Greet clients & visitors, determine visitor needs in a professional manner consistent with the Kansas City Experience TM.
Answer incoming calls, determine purpose of call and transfer call and screen for security integrity
Inform sponsors and associates of client & visitor arrival
Book meeting room and inform participants
Insure a neat and clean reception area
Order supplies
Serve as a liaison between contract Security personnel
Schedule the use of conference rooms by various facilities personnel
Collaborate and communicate with internal staff at all levels
Monitor people coming and going through the reception doors
Administer visitor badges for interview candidates, new hires and clients
When client auditors arrive send email to Administrative Assistant Specialist
Be aware of and report suspicious activity in lobby or in front of building
Mark all returned badges as returned in the visitor log
Maintain Badge inventory and report missing badges
Print out the Catalent welcome brochures and fold them and keep the brochure holder full.
Assist employees to their correct location.
Create a unique and positive experience for the visitors.
Order office supplies for security
Ensure back up when absent from reception desk
SQDC / EHS system data entry & dissemination using Entropy, spreadsheets and email
Manually enter safety concerns into entropy for ODD
Assist in expediting the review/closure of safety concerns in Entropy
Participate and support all required emergency drills
Scan and upload files into the safety drive for EHS, as needed
Assist in management of EHS documents maintained in electronic document control system.
Coordinate work orders for safety and non-safety related items
Schedule ergonomic assessments for Catalent employees
Update EHS Calendar for Nurse Assessments, Doctor's Physical, Shoe Truck etc.

IV. Experience, Education, & Other Requirements
Education or Equivalent:
Bachelor Degree or related experience
Experience:
Experience working in a Lobby Environment/Setting
Experience with security protocols and practices
Experience working in a GMP facility and familiar with GMP requirements
Public speaking and engagement
High levels of interdepartmental collaboration
Physical Requirements:
Individual may be required to sit, stand, walk, climb stairs for extended periods. Specific vision requirements include reading of written documents and use of computer monitor screen frequently.
