Job Overview
The Purchasing & Design Specialist is responsible for the sourcing of hotel rooms, convention centers and function space for new/repeat meetings, and events. Responsibilities include sourcing/procurement; negotiation; client/vendor contracting and process development and management in collaboration with client.
Scope of Work
Responsibility for assigned projects proposal elements, utilizing standard processes and procedures to achieve client satisfaction. Key responsibilities include but are not limited to:
- Effectively communicate with team members and supplier partners to ensure accurate and timely proposal development of travel projects.
- Deliver operational excellence and growth in collaboration with Client Services
- Source rates and availability and strategize on recommendations for destinations, hotels, resorts, ships and venues
- Maintain awareness of emerging industry trends, and incorporate innovative themes, concepts, activities and events into proposals
- Consider client/program objectives, program history, attendee demographics, and budget parameters when formulating recommendations
- Negotiate competitive rates and terms/conditions on the client’s behalf, leveraging supplier relationships and seeking opportunities to enhance value
- Execute contracts, following established processes and ensuring Client Services and clients are informed and their best interests represented in all terms and conditions
- Develop process map in collaboration with client and One10 Client Services
- Participate in client presentations to present One10 travel-related capabilities along with the specific solution recommendation
- Develop and maintain industry relationships including hotels, NSOs, DMCs, and CVBs
- Perform other duties as assigned
Knowledge, Skills, and Abilities
- Four-year degree or equivalent experience
- Minimum four (4) years’ meetings and travel industry experience
- Contract negotiation skills
- Demonstrated ability to operate effectively in a deadline driven environment
- Computer proficiency in Microsoft office suite especially Word, Excel, OneNote; Teams and PowerPoint
- Strong editing and writing skills
- Strong organizational skills and ability to handle multiple projects
- Client facing experience
- Sourcing and contracting multiple hotel and citywide events a plus
- Superior customer service ethic and high expectations for quality
- Excellent communication skills
- Ability to work independently and as a member of a team
- Ability to travel and attend presentations as needed
