Middlesex County based Real Estate Development Co. seeks seasoned and experienced Property Manager for senior role overseeing NJ based industrial warehouse portfolio. Must have at least 5 years’ experience (preferably in industrial warehouse-type buildings – candidates with only residential experience will not be considered) with institutional ownership exposure. Must be able to multi-task in a fast-paced environment while meeting and exceeding client and tenant expectations. Superb knowledge of building systems required and the ability to oversee a diverse set of vendors and subcontractors is essential. Excellent English verbal and writing skills, problem solving and reasoning ability as well as very strong computer skills with experience in spreadsheet and accounting software. Candidate must possess a current valid NJ Driver’s License and have access to an automobile in excellent working condition, which is registered and fully insured under the requirements of NJ Department of Motor Vehicles. Must reside within 50-minute commute to East Brunswick NJ. Must submit cover letter including salary requirements along with resume detailing experience.
SUMMARY:
A warehouse/ industrial Property Manager is the go-to person who takes care of all the details required to run a commercial portfolio of industrial and warehouse buildings. It’s up to the Property Manager to oversee all of the maintenance and routine repairs within the buildings including responding to tenants’ requests for service and/or repairs including hiring out the work to subcontractors who report to the Property Manager. Responsibilities include overseeing the interior and exterior of the building comprising of services such as landscaping, painting, pest control, parking lot maintenance, electrical, plumbing and HVAC systems, windows and doors, etc. Inspections of the property are completed on a regular basis and recommendations are made to the owners for repairs and/or upgrades as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Core duties and responsibilities include the following. Additional duties may be assigned.
• Perform routine inspections of the property to ensure proper operation of building systems, compliance with code requirements, maintain curb appeal/aesthetics and to identify deficiencies and recommend actions required to correct such deficiencies.
• Coordinate all repairs and inspections with various service contractors and/or sub-contractors.
• Submit applicable paperwork to various Township(s) in order to obtain Certificates of Occupancy, Continued Certificates of Occupancy and Temporary Certificates of Occupancy for new tenants.
• Investigate the circumstances of certain accidents at the building, vandalism or property damage, recommending action and/or working with the CFO or CCO to submit claims to the insurance company, as applicable.
• Perform tenant move-in or move-out inspections, as applicable, and provides tenant an itemized list of all repairs and maintenance required prior to lease inception or expiration, as applicable, to ensure all repairs are completed.
• Prepare, administer and maintain annual service contracts for the property via a competitive bidding process for services such as landscaping, pest control, snow removal, garbage removal/recycling services, janitorial services, etc.
• Prepare or assist with input data required to produce the annual operating expense and capital improvement budgets.
• Negotiate, contract and manage capital improvement projects such as paving, concrete work and roof replacements.
• Work with vendors to implement a preventive maintenance program on building systems such as HVAC and sprinkler systems.
• Visit the buildings and obtain monthly electric, sub-meter and/or gas meter readings to ensure proper billing to tenants.
• Review and approve all service invoices and forward to the property controller within the accounting department for processing and payment.
• Prepare various monthly reports to external portfolio owner(s) such as property inspection reports, variance reports, etc.
• Knowledge of building systems such as fire alarm panels, fire pumps, sprinkler systems, thermostats, electric panels and circuit breakers, HVAC systems, electric, gas and water shut off valves.
• Work closely alongside the leasing and accounting departments on various tenant and/or building issues.
• Maintain tenant’s certificates of insurance – check for compliance and adequate coverage.
• Gather necessary data and/or factual information for possible legal issues and respond to counsel.
• Read and understand leases, lease amendments and other lease related documents.
• Responsible for day-to-day operations including supervision of contracted vendors, as applicable.
• Must be able to make decisions and maintain composure during “stressful” situations with tenants.
• Must be able to multi-task on various projects or assignments simultaneously.
• Maintain relationships with tenants, associates and vendors on a professional level at all times.
• Must be available on a 24/7 basis (weekends and holidays included) in the case of emergencies (i.e. fire, hurricane, flood, etc.).
• Consistent business e-mail monitoring every thirty (30) minutes throughout weekday business hours. After business hours on weekdays, e-mail is to be checked at least once between 7:00 PM and 11:00 PM, responding appropriately to issues of significant importance. Weekend and holiday e-mail monitoring at a minimum of twice daily, responding appropriately to issues of significant importance. If issue will require more than thirty (30) minutes of activity, notify Chief Operating Officer via phone and email. If COO is not available, leave message and notify the VP of Finance and/or VP.
EDUCATION, EXPERIENCE, CERTIFICATIONS:
EXPERIENCE: 3-5 years managing Industrial properties, OR 7-10 years managing Retail or Office properties, if no prior Industrial property experience. Will NOT consider ONLY Residential experience.
EDUCATION: Bachelor’s degree preferred; High school diploma or General Education Degree (GED) and five years related experience and/or training; or equivalent combination of education and experience required.
CERTIFICATIONS: CPM (Certified Property Manager) or RPA (Real Property Administrator) certification or equivalent preferred.
The staff member must maintain a current valid NJ Driver's License. Staff member's automobile must be kept in good working condition, registered and fully insured under the requirements of New Jersey Department of Motor Vehicles.
