Job description

Job Summary:
This position is responsible for coordinating various functions related to aspects of property and asset management operations. Will provide support for a variety of property management issues, including but not limited to program and tenant eligibility review and determination, documentation, collections, notices, lease administration, and maintenance requests. This position will also work in coordination with vendors to maintain facilities and direct handling of routine property maintenance issues, handling of customer complaints, and showing of rental units as needed.

Essential Duties and Responsibilities:
1. Maintain thorough understanding of properties, current availability, and pricing.
2. Prepares and finalizes lease agreements for assigned housing units and explains process and requirements to include application processing to customers and data entry into the FHA system.
3. Assists prospective residents by providing information about vacant units and assists with the application process to include credit checks and third-party verifications.
4. Coordinate tenant move-ins and move-outs and ensure that move-in procedures are followed, including notifying janitorial square footage and cleaning start dates, review information to tenant on how to order mailbox keys, confirm number of keys needed and order the keys, walk space prior to and after moves, send moving policy to tenant, and obtained signed move in policy.
5. Perform purchasing duties and reviews and process all invoices/bills received for assigned units and data entry into the FHA system.
6. Coordinates with utility companies during move-in/out of tenants and ensure utilities are current and can be turned on for the next tenant.
7. Maintain an excellent customer service relationship with current and prospective tenants.
8. Draft correspondence, mailing and emails as needed to address collections, tenant concerns and/or program requirements.
9. Maintain files for all tenant lease agreements, project files and ensure completeness and accuracy of all paperwork and documentation.
10. Participates in the establishment and maintenance of marketing plans and procedures to attract new applicants and retain current residents, including creation and updates of Affirmative Fair Housing marketing.
11. Compiles and examines monthly occupancy/vacancy updates fact sheet and sends out to local community organizations and posts on the Dwelling Place website.
12. Assists with planning, scheduling, implementing, and evaluating property management staff trainings and asset management performance.
13. Ensure the upkeep of physical properties and all maintenance requests are handled promptly.
14. Work with property management team to maintain residential property by conducting timely, quality, and cost-effective repairs and when necessary, using qualified vendors.
15. Inspect properties and document their condition with video and/or photographs, as required, to ensure the properties are safe and tenants comply with community and lease rules.
16. Create and maintain a “preferred vendor” list where vendors are trained and/or understand UMOS’ policies and expectations of services.
17. Maintain an accurate and updated database of maintenance requests by timely entering them, assigning vendors, and updating status in the FHA system.
18. Train and supervise property management staff and prepare agendas and record minutes for property management related meetings, including appeals.
19. Attend meetings, workshops, and trainings, and perform other duties as assigned.

Qualifications:
1. Associate degree in real estate, business administration or related field and two years’ experience in property management. Any combination of equivalent education and work experience may be considered.
2. Journeyman’s license in plumbing, electrical, carpentry may serve as substitute for education and experience requirement of one year.
3. Able to communicate in both English and Spanish REQUIRED.
4. Excellent communication (both written and verbal) and organizational skills.
5. Proficiency in using computers, typing, and using Microsoft Office Suite (e.g., Office 365 or Office Suite 2016 or higher version).
6. Willing and able to travel locally between the housing centers and work irregular work hours, including both evenings and weekends. (Note: this position requires travel up to 20% of the time, both within state(Jefferson, Beaver Dam, Berlin) and out-of-state (Minnesota).
7. Must have a reliable vehicle, valid driver’s license, and valid auto insurance.

Physical Demands:
1. Employee is frequently required to stand, walk, sit, bend.
2. Occasionally required to lift and /or move up to 40 lbs.
3. Frequently required to drive.
4. Frequently exposed to moderate temperature generally encountered in a controlled temperature environment and outside setting.
5. Noise level in this work is usually semi-moderate.
Tools & Equipment Used:
1. iPad, iPhone, laptop computers, projectors, copy/scanner machine, computer.
2. Be able to scan documents and encrypt documents as necessary
3. Use first aid equipment, fire extinguisher.
Usage varies by position.
