About the Opportunity:
The Property Management Assistant position is a great opportunity for the self- motivated, task-oriented individual, interested in learning a career in the growing field of Commercial Property Management and Leasing. The Property Management Assistant works both from the office, as well as in the field, and enjoys interacting with a wide range of personalities from property owners and trades people, to real estate professionals and tenants, some of whom are among Pasadena’s most successful entrepreneurs. This is a full-time position assisting the Property Managers with all aspects of managing commercial investment properties.
Responsibilities/Duties:
-Responds to tenants’ service requests, dispatches vendors and inspects and monitors work performed.
-Coordinates and supervises work required to turn over units for re-rent.
-Writes and distributes memos to tenants.
-Provides staff support to accounting department as needed.
-Updates company web site with current information.
-Performs tenant move in/move out inspections, supervises rekeying of suites, updates tenant directories and mailbox labels.
-Prepares Property Profiles for properties under management.
-Coordinates special events, including holiday related events and distributions.
-Updates and manages Monthly Maintenance Events Calendar, dispatches vendors and distributes list of monthly events to Property Managers.
-Reads electrical sub-meters, calculates and records tenant usage.
-Collects money from washing machines and deposits into bank.
-Works with Day Porter to help coordinate building maintenance.
-Maintains inventory of property keys.
-Meets vendors on site to provide building access in coordination with tenants.
-Fields telephone calls as needed.
Qualifications:
-The Property Management Assistant is able to work from the office as well as in the field, has a reliable vehicle, maintains a valid driver’s license, and provides a driving report and proof of required liability insurance.
-Possesses excellent written and verbal communication skills, strong customer service and organizational skills. Has the ability to provide efficient, courteous service to tenants and building owners.
-Possesses intermediate to advanced skills with Microsoft Office Suite.
