Job DescriptionThe Project Coordinator is responsible for assisting the Project Manager in overseeing all aspects of planning, coordinating and managing on-site construction activities, as well as providing related administrative support to the construction management team.
Duties and Responsibilities- Assists in distributing and tracking construction plans, RFI’s, and submittals utilizing Procore project management software.
- Assists in permit submission to the local jurisdictions and tracking of permits.
- Assists with plan take offs, bid analysis, distribution of bid requests, tracking and collecting bids.
- Assists with schedule distribution and monthly progress reports.
- Assists with punch list documentation utilizing Buildup software.
- Assist Superintendents with maintaining an accurate record of materials stored on site and tracking materials that are yet to be delivered.
- Assists Project Manager in preparing project close out books including warranties, O&M’s, and test reports.
- Creates and maintains buyout/contract log.
- Prepares and processes subcontracts, change orders and check requests.
- Coordinates with the Project Manager and Superintendent(s) in establishing an on-site construction office.
- Monitors and maintains tickler/follow-up/reminders for all project due dates.
- Documents meeting minutes during Project Team Meetings and Owner Meetings.
- Tracks and distributes fully executed subcontracts and change orders to accounting for payment processing.
- Tracks subcontractor insurance certificates, licenses, and safety manuals.
- Research construction related products, codes and permitting requirements using internet search engines.
- Keeps Project Manager informed of outstanding subcontracts and change order issues on a weekly basis.
- Acts as liaison between subcontractors/vendors and accounting, as necessary
- Archives project files according to company policies and procedures.
- Provides general administrative support activities such as emailing, filing, scanning, scheduling, and typing etc.
- Any other duties as assigned.
- Ability to read and interpret construction drawings and specifications.
- Ability to multi-task in a fast paced environment and prioritize duties accordingly.
- Effective verbal, written and interpersonal skills.
- Strong organization skills.
- General office and mathematical analytic skills (a plus).
- Must demonstrate initiative with high motivation.
- Must have the ability to work professionally as part of a group as well as work independently.
- Proficient in Microsoft Office/Office 365; must possess excellent computer skills and typing ability.
- Minimum, high school diploma or General Education Development (GED), a bachelor’s degree in construction management, business administration or related field preferred
- Minimum of three years’ experience in construction administration working under a general contractor in commercial or multifamily construction building projects
- OSHA 10 Hour Construction Training Certification or willingness to obtain within 30 days of hire and maintain Certification.
- 40 hours per week
- Ability to work flexible workweek including evenings and weekends as required/needed
- Safety shoes and hard hat required at all construction sites
- PPE such as hard hat, safety glasses, vests, masks, gloves, etc., as tasks dictate will be provided
- Work at construction site and/or field office with duties being performed both indoors and outdoors in a variety of weather conditions.
- Stand and walk or sit alternatively depending on specific needs of the day. Estimate 40% of time is spent on feet and 60% sitting at desk.
