Job Summary:
The primary responsibilities of this role are the administrative tasks of assigned line of business. This position requires maintaining documents and client database(s), including contract documents, project plans, project reports, project deliverables, and project trackers. Accurately and promptly meet the client’s deadline in submitting closeouts documents and photos. This position is office based and focused on supporting office and field team members. May potentially require field work and could include weekends, holidays, and off hours. Travel, although rare, may be required depending on business needs.
This role is located in our Manassas, VA office
Job Duties:
- Execute work on assigned projects, shepherding them to successful completion.
- Provide complete project documentation (Closeouts) to our customers that meet both the customers’ and NTI’s expectations for established levels of quality.
- Maintain documents and client database(s), including contract documents, project plans, project reports, project deliverables, project schedules, and project trackers.
- Responsible for project workflow, in addition to supporting office and field personnel by providing them with needed documentation and supplies as requested.
- Assist in building project plans, scopes of work (SOW), and bills of materials (BOM).
- Assist in scheduling team members.
- Optimize inventory on hand by analyzing inventory management system to ensure in-stock materials are identified and used prior to PO creation.
- Secure quotes from vendors and order and track materials
- Assist the Project Manager with submitting True Ups and Change Orders.
- Must enter, update, and maintain the financial progress of the project in our financial software platform.
- Track and assist on multiple projects concurrently.
- Must enter, update, and maintain project progression in our project tracking software platform.
- Participate in pre-construction and regular status meetings with customers and/or vendors.
- Attend site walks and confirm that plans and expectations align with conditions.
- Collaborate with Estimators to ensure successful project handoff.
- Collaborate with Project Managers to ensure successful project execution.
- Validate material inventories and resources are scheduled to make all job timelines.
Experience and Education:
- High School diploma or equivalent.
- Industry experience greatly preferred but not required.
- Previous experience in IT, finance, or logistics would carry over
Competencies/ Skills:
- Basic ability to read and interpret blue-prints, drawings and diagrams, and all other provided materials.
- Extrapolate requirements to create take off materials including quotes, scope of work (SOW), method of procedure, etc.
- Knowledge of material orders and tracking.
- Basic ability to estimate labor effort and material requirements.
- Excellent interpersonal and communications skills, focused on customer service.
- Proficiency with the MS office suite, Bluebeam Revu, or Revit is a plus.
- Must hold a valid driver’s license.
