JOB TITLE: Programs Coordinator
DEPARTMENT: Athletics
ROLE & LEVEL: T3
PAY GRADE: 4
FLSA STATUS: Exempt
JOB SUMMARY:
Performs specialized technical work in the coordination of community programs, events and projects related to neighborhood advocacy for the Village of Wellington (Village). Position focuses on developing, planning, and coordinating volunteer programs to address youth outreach, civic education, and community engagement.
Work is performed under limited supervision with moderate latitude in the use of initiative and independent judgment. Position relies on experience to determine the best approach by using and interpreting policies and procedures.
ESSENTIAL FUNCTIONS:

GENERAL ASSINGMENT:
  • Opens and closes the recreational facility according to established events and program schedules.
  • Assists in supporting appropriate staffing initiatives; assists where needed to ensure programs are conducted in accordance with established time frames.
  • Assists in developing budget for assigned programming.
  • Completes and monitors contractual commitments for independent contracts.
  • Performs activity maintenance in advertising and in the RecTrac system including activity set up, code assignments, facility reservations, and changes along with various day to day procedures such as activity and facility registrations, reservations, transfers, cancellations, and changes.
  • Monitors participants’ actions and activities to ensure adherence to standard and established safety policies, procedures, guidelines, and operating requirements.
  • Responds to inquiries regarding program specifics from various entities, e.g., parents, program participants, children, program staff and the general public.
  • Performs various tasks within the department as directed, including: processing invoices for payment, preparation of purchase order requisitions, review of department financial reports and reconciliation of credit card statements.
  • Assists in scheduling and delivery of programs for d facilities, including recurring seasonal programs and the efficient transition between programs ending and beginning simultaneously.
  • Maintains inventory of equipment and supplies.
  • Creates schedules for staff, volunteers, and programs to ensure the efficiency of the athletic programs. JOB TITLE
  • Trains and assists various individuals within the department on understanding and usage of specific computer applications and systems used in managing recreation programs and facilities rental.
  • Performs related duties as directed when such duties are a logical and appropriate assignment to the position.

Supervisory Responsibilities:
  • This position has no supervisory responsibilities

MINIMUM QUALIFICATIONS:
High school diploma or GED required; an associate degree may be required and a bachelor’s degree is strongly preferred; supplemented by three (3) years of customer service or similar volunteer coordination experience, including one (1) year of experience with youth and adult activities and/or two (2) years of experience in recreational program coordination with youth and adult activities; or an equivalent combination of education, certification, training and/or experience.
Certifications and Licenses:
  • Must possess and maintain a valid State of Florida Driver License and the ability to drive a Village owned vehicle per established policies, procedures, and safety guidelines. Regular attendance at work on-site is essential to maintain the necessary teamwork, personal interaction, and supervision that this position requires. Responds to emergency call-ins for hurricanes or other critical events.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Knowledge of approaches and activities related to community events, community outreach and/or neighborhood advocacy, according to area of assignment
  • Knowledge of community and demographic trends used to create programs and initiatives
  • Skill in basic math including but not limited to adding, subtracting, multiplication, division, geometric construction, practical algebra and metrics
  • Skill in the use of Microsoft Office products (Word, Outlook, and Excel) and applicable department and organization specific software and ability to learn and become proficient in the use of other specialized software as may be required
  • Ability to use reasoning skills that minimize duplication of efforts, including but not limited to comparing, classifying, analyzing and coordinating
  • Ability to multi-task while working with tight deadlines and shifting priorities
  • Ability to clearly communicate and understand information in English, both orally and in writing
  • Ability to establish and maintain effective working relationships with those interacted with during work regardless of race, color, religious creed, national origin, ancestry, sex, sexual orientation, gender identity, age, genetic information, disability, political affiliation, military service, or diverse cultural and linguistic backgrounds

PHYSICAL REQUIREMENTS:
Depending on functional area of assignment, tasks involve the periodic performance of moderately physically demanding work, usually involving lifting, carrying, pushing and/or pulling of moderately heavy objects and materials (up to 50 pounds). Tasks that require moving objects of significant weight require the assistance of another person and/or use of proper techniques and moving equipment. Tasks may involve some climbing, stooping, kneeling, crouching, or crawling.
ENVIRONMENTAL REQUIREMENTS:
Tasks are regularly performed inside and/or outside with potential for exposure to adverse conditions, such as dirt, dust, pollen, odors, fumes and/or poor ventilation, wetness, humidity, rain, temperature and noise extremes, machinery and/or moving vehicles, vibrations, electric currents, animals/wildlife, toxic/poisonous agents, gases or chemicals, oils and other cutting fluids, violence and/or disease, or pathogenic substances.
SENSORY REQUIREMENTS:
Tasks require sound and visual perception and discrimination. Tasks require oral communications ability. Must have manual dexterity and be able to perform repetitive motions of the wrists, hands, or fingers. Must be able to perceive color and depth. Tasks involve prolonged eye use and/or fine visual ability; computer work, reading text, visual inspections, or measurement devices. Must be able to follow visual cues or signals.
