Job Summary:
Reporting to the Director of Student Supports & Violence Prevention, the Project Coordinator is charged with supporting the Director in the drive to ensure that every school is best equipped to provide its students with a safe environment. The Project Coordinator will have purchasing and administrative responsibilities for the unit. This role will also support the coordination of activities and meetings for the assigned portfolio for the goal of providing a safe, calm environment for students and staff.
The Program Coordinator will be held accountable for the following responsibilities:

  • Review and summarize miscellaneous reports and documents; prepare background documents and reports under tight deadlines.
  • Prepare and process various pertinent forms, reports, and correspondence.
  • Assist with the completion of invoices, purchase orders and funds reconciliation for the violence prevention program portfolio.
  • Plan, develop, implement, and monitor administrative procedures to improve workflow efficiency.
  • Monitors the status of current violence prevention projects to ensure compliance with established deadlines and project guidelines.
  • Complete and oversee all violence prevention programs purchasing in accordance with established purchasing and procurement practices.
  • Assist in the preparation and monitoring of the violence prevention programs annual budget and philanthropic contribution.
  • Establish and maintain office work schedule and calendar for the Director of Student Supports and Violence Prevention.
  • Prepare and assemble meeting and conference materials.
  • Prepare correspondence in response to requests for information.
  • Schedule meetings and appointments efficiently and accurately.
  • Assist with the coordination of resources and partnerships across all violence prevention programs.
  • Provide customer service support to community-based organizations and partners
  • Perform other related duties as assigned.

In order to be successful and achieve the above responsibilities, the Program Coordinator must possess the following qualifications:
Education Required:
  • Bachelor's degree from an accredited college or university. Preferred fields of study - Management, Public Administration, Business Administration, or a related field

Experience Required:
  • Three (3) years of administrative work experience required.
  • Professional work experience supporting youth-based preferred

Knowledge, Skills and Abilities:
  • Ability to plan, prioritize and evaluate work for efficiency and effectiveness
  • Considerable knowledge of the use of personal computers, including MS Word, MS Powerpoint, MS Excel and MS Outlook
  • Ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive and resourceful with a high level of professionalism
  • Strong communications skills (Oral and Written)
  • Ability to build and maintain partnerships with external agencies and key stakeholders
  • Possess a strong sense of integrity
  • Excellent analytical, administrative and organizational skills
  • Sense of urgency in accomplishing goals and objectives
  • Possess an unyielding commitment to continuous improvement and an unwavering belief that all students deserve a safe environment
  • Ability to manage multiple tasks in an environment with frequent interruptions, changing priorities and tight operating deadlines

Conditions of Employment
As a condition of employment with the Chicago Public Schools (CPS), employees are required to:
  • Establish/Maintain Chicago Residency - Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part-time positions, however, all CPS employees must be residents of Illinois.
  • Be Fully Vaccinated Against COVID-19 - Unless approved for a medical or religious exemption, all employees are required to be up-to-date on COVID-19 vaccinations, including boosters, and to submit proof of vaccination to the district within 30 days of hire. "Up-to-date" on vaccination is defined as being at least two weeks past all primary vaccine doses and any applicable boosters.
