Program Coordinator - Support Services

General Purpose: Performs administrative, supervisory, and professional work in the operation and maintenance of supportive social services for eligible residents. This position requires a fair amount of flexibility, as it may include evening and weekend hours. This is a hands-on position, interacting daily with senior citizens, the business community, and the public.

Essential Duties and Responsibilites:

  • Management of the Senior Transportation Program, which includes some of the following tasks
    • Creates schedule for bus drivers and riders and provides ongoing training as needed
    • Manages SMART grant, including grant submission and all required reports; manages SMART and transportation budget.
    • Works closely with SMART and City DPW in the coordination of maintenance, repairs, etc. for senior transportation fleet.
    • Fills in as a backup driver as necessary, operating buses and/or vans.
  • Coordinates community center room rentals, maintains room schedules and room reservations, handles all aspects of the rental process, in conjunction with the Facility Scheduler.
  • Management of a variety of Supportive Services for eligible residents including the following programs: local focus hope, food cupboard, AARP Tax Preparer, scholarships, and SHARP.
  • Implementation of the City's Community Development Block Grant Program (CDBG):
    • Assists in managing current and future programs funded under CDBG: Minor Home Repair, Yard Services and outside agency contacts.
    • Minor home repair program includes application reviews, home visits, job assessments, and working with contractors and homeowners to ensure each project is completed satisfactorily and in compliance with CDBG guidelines.
    • Creates, distributes, and promotes the City CDBG programs through acceptable marketing trends and presentations.
  • Assures that assigned areas of responsibility are performed within budget; performs cost control activities; monitors revenues and expenditures in assigned area to assure sound fiscal control; prepares annual budget requests; assures effective and efficient use of budgeted funds, personnel, materials, facilities and time; writes and assists with grants to support program budgets.
  • Maintains records and statistics for events, programs and services related to budget, reports and program evaluation; responsible for preparing all necessary and mandatory reports, records and files.
  • Responds to public inquiries about programs made by telephone, correspondence or during public meetings.
  • Prepares and coordinates newsletter articles and works with staff on marketing materials and social media for activities, events, and programs.
  • Exhibits creativity in conceiving and implementing innovative programs and services within budget constraints and resources to achieve goals; secures and interacts regularly with instructors, entertainers, sponsors and vendors for programs, classes, events, and services using City approved procedures.
  • Collaborates in the development of short- and long-range plans and goals; interprets and prepares data for studies, reports, and recommendations.
  • Coordinates and communicates departmental activities and events with other City departments and agencies as needed.
  • Provides presentations to other organizations and makes presentations to supervisors, boards, commissions, civic groups, and the public.
  • Assists the department with event planning for all community events and takes the lead as assigned.
  • Works closely with other departments and agencies in relationship to older adults; maintains current professional relationships and builds new ones to promote and expand awareness of the department and City.
  • Participates in meetings, events, workshops and/or conferences as appropriate to position.

Preferred Qualifications:

(A) Graduation from a four-year college or university with a degree in Social Work, Gerontology, or a closely related field.
(B) 2 years' experience successfully coordinating social services; or an equivalent combination of education and experience.
(C) Considerable knowledge of principals used in planning, coordinating, and providing services to older adults and other members of the community.
(D) Knowledge of community programs related to older adults.
(E) Knowledge of available resources and services for vulnerable adults and/or victims of elder abuse.
(F) Ability to establish and maintain working relationships with employees, supervisors, other agencies, community leaders and the general public.
(G) Ability to plan and supervise the work of paid staff.
(H) Ability to work in a team environment and independently as needed.
(I) Must be organized and detail orientated in all components of the job.
