The Program Coordinator will directly coordinate and manage all administrative programs and tasks for the Advanced Practice Provider Program within the Department of General Internal Medicine. By providing high level administrative support in planning, organizing, and implementation of program initiatives, this position impacts and supports the Advanced Practice Provider Program. Additionally, the Program Coordinator will facilitate the collection and interpretation of data in direct support to the Advanced Practice Provider Program and the subspecialties comprised within the clinical and business service.
Key Functions
Program Coordination (60%)
Coordinate and assist the APP Manger in the planning and operation of the program
Responsible for working with APP Manger to create and manage the On-Call schedule; Enter the APP schedule into Qgenda and the On-Call system; Communication of APP schedule and LOAs to the appropriate clinic(s)
Coordinate the processing, distribution, and filing (hard copy and electronic) of required licenses, registrations, and certification for clinical advanced practice providers, i.e. Texas license, DPA, DEA, BLS/ALS, Prescriptive Authority
Assist with preparing, reviewing and distributing monthly provider productivity reports and activity metrics
Assist with the updating, reviewing and distributing all monthly APP program reports
- Gather operational data for the outpatient clinics; assist with identification of opportunities to build upon existing clinic initiatives; gather and interpret data to support and assist with new clinic initiatives
Develop and/or maintain PowerPoint, Excel, and Word documents to support the program in preparation for meetings/classes and other presentations
Assist in general responsibilities, policy creation, training, research, and business management as it relates to successful APP program coordination
- Coordination of APP travel including itineraries, meetings, and lecture
- Develop program specific Standard of Operating Procedures (SOP)
- Manage the APP SharePoint applications
- Facilitate all components necessary for project initiation, implementations, and completion
Administrative Operations (30%)
Provide direct administrative support to APP Manger and clinical APPs
Create agenda, attend, and record minutes for monthly APP meeting
Coordinate, organize, and carry out the day-to-day activities of the office, spending the majority of time on administrative support for the APP Manger and APPs in all sections within the Department of General Internal Medicine, applying institutional policies
Provide administrative support to assigned faculty and staff to include calendar maintenance, travel arrangements, Concur database travel and expense reimbursements, tracking and monthly reporting of PRS spending, correspondence composition, CV and FIS maintenance, journal article and manuscript preparation and proofing
- Compose and edit correspondence and other documents
- Track CME, RME, and ethics credits annually per assigned faculty and APPs
- Track institutional assets
- Submit requisitions for office as needed
- Prepare travel arrangements, applying both institutional and departmental policies
- Prepare Concur reimbursements for travel and/or other expenses
Financial (10%)- Gather financial and clinical activity data for clinical section reporting; Monitor program allocations
- Assist with preparation of budgets, justifications, and financial reporting for programs
- Compile data, spreadsheets, and reports for various projects on a monthly basis
- Assist with department Charge Capture work queue as needed
Other duties as assigned.
EDUCATION: Bachelor's degree in Business Administration or related field.
EDUCATION: preferred: Master's degree.
EXPERIENCE: Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, one year of required experience.
