POSITION PURPOSE
Executive Education located in the Michael G. Foster School of Business, supports individuals and organizations through relevant training, real-world experience, and fresh ideas. We offer programs varying in length from one day to nine months. We also develop custom learning experiences for organizations on a wide variety of topics, all drawing from UW Foster's globally renowned faculty, resources, and evidence-based research.
The Foster School of Business has an outstanding opportunity for a full-time Program Coordinator, Executive Education.
They will be responsible for the day-to-day operations related to program administration, communications and organization within Executive Education.
DUTIES AND RESPONSIBILITIES
General Office Management - 40%
Support day-to-day program operations to include administration, communication and organization.
Greet visitors, answer phones, respond to general email inquiries and maintain a professional courteous demeanor.
Help to maintain the registration database, monitor records for duplications and errors, and produces reports as required.
Work with Executive Education fiscal specialist regarding all-expense-related items (invoices, billings, credits, revenue)
Arrange logistics for several international trips annually for the Associate Dean (travel logistics, meeting and interview scheduling, gifts, and materials).
Manage catering requirements for all Executive Education Programs (minimum of 40 programs per year).
Oversee, track, reconcile, and pay for all catering-related invoices.
Coordinate and support special Executive Education projects/events.
Manage and maintain departmental files and office supplies for all programs and the office.
General Program Support - 50%
Support the delivery of quality programs and planning for domestic and international participants and groups. This includes responding to program inquiries from the public organizing program materials for groups, assisting participants and faculty as needed during programs, assisting groups with local company visits during programs, and administering program evaluations.
Support the planning and streamlining of organizational processes.
Support daily program planning, management, and implementation.
Develop and maintain a high standard of excellence regarding all program activities, particularly with regards to the quality, consistency, and integration of all program materials, including printed and virtual.
Maintain program files (paper and electronic) and utilize department-wide program management software in a manner consistent with department policies and procedures.
Support day of events and classes. Including help guide guests to correct rooms, work with caterer, and aid in setup/cleanup.
Other Duties as Assigned - 10%
MINIMUM REQUIREMENTS
High school graduation or equivalent AND two years of experience providing general office support in an academic services and student support unit or equivalent education / experience.
ADDITIONAL REQUIREMENTS
Ability to be an effective member of a team while independently managing projects and responsibilities with minimal supervision.
Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint, and Teams).
Proven problem-solving, time management and organizational skills.
Strong interpersonal skills; demonstrated ability to deal effectively with a wide variety of stakeholders and individuals from diverse cultural backgrounds.
Detail-oriented, able to take initiative and to work independently with minimal supervision.
Flexible and able to handle multiple tasks and shifting priorities.
Excellent written and verbal communication skills.
Available for occasional evening/weekend work.
DESIRED QUALIFICATIONS
Bachelor's degree in business administration or similar
Experience working with executives and other professionals, locally and internationally.
Experience in an adult education environment.
Significant event management experience.
