Fred Hutchinson Cancer Center is an independent, nonprofit organization providing adult cancer treatment and groundbreaking research focused on cancer and infectious diseases. Based in Seattle, Fred Hutch is the only National Cancer Institute-designated cancer center in Washington.

DEPARTMENT OVERVIEW

Fred Hutch’s Philanthropy program raises funds for cancer and related disease research, care, and education to help Fred Hutch become the world’s best cancer center. Since the April 2022 merger that led to the formation of Fred Hutchinson Cancer Center, Fred Hutch has served as the cancer program for UW Medicine, and Philanthropy is proud to raise funds that fuel the adult oncology program on behalf of both Fred Hutch and UW Medicine.

 

Following board approval of an ambitious, 10-year comprehensive campaign, our team of more than 100 will grow to more than 150 over the next three years. Philanthropy staff implement high-performing, relationship-based fundraising programs that engage and inspire thousands of supporters who are passionate about preventing and eliminating cancer and infectious disease. Our FY24 goals include nearly doubling our annual fundraising, deepening our patient family fundraising, and advancing the first phase our comprehensive campaign through Fred Hutch’s 50th anniversary in 2025. Our success is made possible through a deep commitment to an inclusive environment and operational excellence.

 

POSITION OVERVIEW

The Program Assistant will carry out essential day-to-day administrative tasks of the Foundation Relations team and reports to the Program Director, Foundation Relations. The incumbent will provide essential data entry and data hygiene functions, perform prospect research assignments, and draft templated communications and announcements from the Foundation Relations team to the research community. The incoming employee will carry out a portfolio of recurring assignments independently, and in collaboration with the Program Director may refine and improve existing processes. They will have an eye for detail, demonstrate flexibility in the face of evolving priorities, and remain composed under the pressure of deadlines.

 

This position will work minimum 2 days per week onsite at our South Lake Union campus. All applicants should attach a cover letter in order to be considered.


  • Oversee the maintenance of the project calendar for Foundation Relations. This includes verifying that proposals, progress reports, events, and other cultivation and stewardship efforts are scheduled and tracked to ensure that all research, fundraising, and administrative activities are completed.
  • Perform regular query activity of grants database to synchronize tracking of philanthropic grant activity while will enable accurate forecasting of progress toward philanthropic goals.
  • Using public and subscription resources, perform initial and ongoing prospect research to maintain up-to-date records in Philanthropy’s funding opportunity database.
  • Using public and subscription funding opportunity database resources, craft routine campus-wide announcements notifying potential applicants of funding opportunities.
  • Maintain up-to-date records on prospect strategy, solicitation, and stewardship in Raiser’s Edge with input and guidance from Foundation Relations fundraisers.
  • Collaborate with the Foundation Relations team to enable distribution and preparation of limited grant opportunities and some grant proposal components.
  • Handle various clerical responsibilities as assigned such as processing and reconciling expense documents, ordering supplies, supporting site visits, preparing FedEx packages, and distributing
  • Take on additional responsibilities, tasks and project as assigned by the Program Director, Foundation Relations that are job level appropriate. 

MINIMUM QUALIFICATIONS:

  • High school diploma or equivalent
  • Two years of experience in non-profit development or a related field
  • Proficiency in Microsoft Office Suite, SharePoint, Outlook and Adobe software
  • Strong attention to high level of detail and quality of work
  • Excellent written and verbal communication skills
  • Comfort working within a complex, science-oriented organization
  • Strong organization, time management and data management skills
  • Ability to handle and respect confidential and sensitive information
  • Ability to work under the direction of others and perform special projects as assigned
  • Ability to set priorities, meet deadlines and manage multiple projects
  • Ability to understand and carry out oral and written instructions and request clarification when needed

 

PREFERRED QUALIFICATIONS:

  • Bachelor's degree or equivalent experience
  • Experience in using or developing commercial and proprietary databases
  • Proficiency in Tableau, Peoplesoft, and Raiser's Edge
  • Experience in a research setting or understanding of grant and contract management

The hourly pay range for this position is from $23.32 to $33.20 and pay offered will be based on experience and qualifications.
