About the Position The Language and Culture Programs (LCP) Program Support Specialist, 50% position, reporting to the Manager of International Student Programs & Services (Manager ISPS), assist with the well-being and integration of international students during their participation in WWU's Intensive English Program (IEP) and other short-term international programs. In this role you will predominantly assist with the IEP and AUAP admission processes including but not limited to communicating with leads and applicants. In close collaboration with the Manager ISPS the position will serve as one of the primary contacts for prospective and current IEP students and for assigned short-term international programming support.
Additionally, the position will provide LCP programmatic support with relation to student documentation collection/maintenance, surveys, and curricular/co-curricular related administrative tasks.
Duties / Responsibilities:
Admissions and Student Services Support: 50%
  • Track the IEP and AUAP inboxes. Answer any general questions and forward more specific questions to Manager ISPS.
  • Process new IEP applications by entering data into SmartSheet form
  • Create new IEP student folders in the SEVIS SharePoint site. Store PDF of application and add passport/financial/academic information that is sent during admission process
  • Track and organize student documents received and communications sent in the Smartsheet Applications Database
  • Send pre-written emails to students when they reach specified milestones during the admissions process
  • Schedule prospective IEP students for remote placement test
  • Forward any uncommon student situations/questions to Manager ISPS with context
  • Update IEP application/admit numbers into the tracking spreadsheet bi-weekly
  • Notify Manager ISPS when students have completed their application materials and need to be admitted (I-20 sent)
  • Track attendance for IEP and AUAP using provided spreadsheets and based on emails sent by instructors each week. Notify advisor if absences exceed allowable for program (stated on spreadsheet)
  • Generate WWU-student ID numbers
  • Arrange for WWU-student ID cards
  • Tally student survey results
  • Request classrooms assignments, input room assignments into class schedules.
  • Provide ongoing support on activities related to student wellness, housing and dining services, student events and outings, volunteer programs, and access to university resources.

LCP Programmatic Support: 45%
  • Assist with textbook or course/activity materials orders for each program
  • Receive and process reimbursement requests (receipts/documentation) from faculty and staff.
  • Compile binders for students (including dividers, maps, other class/program/campus life and community information).
  • Assist in creating weekly/bi-weekly/monthly newsletters for Asia University and other international partners as needed
  • Coordinate with AFM in ordering supplies before the cycle/quarter begins.
  • Update the pre-service cycle packets with student information, TOEIC test scores, faculty and staff contact information, etc.
  • Create labels to be placed on student binders, textbooks, and passports.
  • Create student photo rosters
  • Create emergency contact cards for students, faculty, and staff.
  • Collect and scan student/participant passports and I-20s as needed or required
  • Create program completion certificates
  • Arrange for short-term program WTA bus passes
  • Request special rooms/space (VU/computer labs) as needed for classes or co-curricular activities

Required Qualifications •Associate's or Bachelor's degree
•Demonstrated professional experience serving in international student services, international student advising, or closely related field/activity
•Demonstrated experience supporting international and/or culturally diverse populations
•Excellent interpersonal and written communication skills
•Ability to multi-task daily work while maintaining a high attention to detail
•Demonstrated experience and understanding of culturally responsive practices and cultural sensitivity
•Competency using Microsoft Office including Outlook, PowerPoint, Word, Excel and Access
•Valid Driver's License, five years of safe driving experience and ability to drive a 12-passenger van on excursions
•Ability to work some nights and weekends
Preferred Qualifications •Professional experience in higher education
•Second Language Proficiency -Arabic, Vietnamese, Chinese, Japanese, or Korean preferred
•Experience working with university level language and culture programming
•Experience developing and using Social Media modules for international student outreach
•Experience with video editing
•Successful completion of NAFSA's F1 visa workshops (beginner)
•Food Handler's Permit
•Familiarity with SurveyMonkey, Qualtrics, MailChimp or similar survey and mail-merge software
•Experience liaising between community groups and educational organizations
•Experience with registration processes
•NAFSA, TESOL membership or related professional organization

Salary
$3,207 - $4,257/month depending on qualifications and experience at 100% appointment. $1,603 - $2,128/month depending on qualifications and experience at 50% appointment.
