Under the supervision of the Procurement Program Supervisor and limited supervision of the Procurement Manager this person will: perform administrative tasks; entry level purchasing tasks; and exercise considerable judgment and independent action in completing all assigned work.
- Performs administrative tasks by typing, proofreading, filing, photocopying, and otherwise processing procurement related documents and data. Work includes but is not limited to:
- Maintaining and updating records and logs, distributing mail (i.e., U.S. mail, FedEx, courier, inter-office, etc.), ordering office supplies, etc.
- Provides support and assistance to internal and external Procurement customers and general public including, but not limited to:
- Answering and responding to calls made to the department's main telephone line.
- Providing backup telephone reception for all Procurement Staff.
- Responding to general inquiries, taking messages and arranging appointments as needed or directed.
- Performs entry level purchasing activities including but not limited to:
- Ordering office supplies and copier/printer supplies for the Procurement Department.
- Ordering business cards, name plates and annual calendars for the organization.
- Update and manage contract reports through SAP and Microsoft Office programs including working with the Procurement Staff to ensure information is correct and current, posting solicitation and contract documents on the external website, and filing paper procurement documents as necessary,
- Assist Procurement Manager and Procurement Program Supervisor with Procurement and Contact Reports and others as assigned.
- Run the monthly Contract Renewal Report and provide to the Procurement Staff for upcoming contract renewals, draft renewal letters and prepare contract price adjustments.
- Assist Procurement Manager and Procurement Program Supervisor with Standard Operating Procedures by drafting step-by-step instructions and a process map.
- Create, update and manage contract files and other procurement related files in SAP.
- Assist Procurement Staff with their solicitation process and maintain bid clock(s).
- Issues small dollar quotes and Purchase Orders through SAP.
- Provides administrative support for the Procurement Card for the Procurement Manager and Procurement Program Supervisor.
- Performs other duties as assigned or required.
- Any combination of education, experience and training equivalent to the following: Associates Degree in Business Administration or related field; plus two years of procurement, contract or materials management experience.
- An advanced level of skill in Microsoft Office Suite software including, Word, Excel, Access, an intermediate level of skill in Power Point, and Adobe Acrobat.
- Excellent verbal and written communication skills (grammar, spelling, punctuation, and math).
- The ability to establish and maintain effective working relationships with supervisors, co-workers, internal and external customers and the general public.
- Strong organizational skills with thorough attention to detail.
- Ability to use sound judgment in making decisions.
- Ability to compare and analyze costs and specifications.
- Knowledge of purchasing contract practices and procedures.
- Must pass a controlled substance (drug) test for employment.
