Job Summary

The City of Salem Police Department is looking a full-time employee position (FTE).

The Records Section of the Salem Police Department employs 15 Records Technicians and 3 Records Shift Supervisors. We provide support services to 200 sworn officers, administrative staff, and a variety of partner agencies.

What you will do:
Duties performed span the spectrum of clerical and customer service functions and are performed in a fast-paced environment that demands tasks be completed with attention to both timeliness and accuracy constraints.
Police Records Technicians perform a wide variety of tasks which include reviewing, approving, and routing police incident reports; entering and purging time sensitive information in the Law Enforcement Data System; entering citations into the records management system; reviewing records for public release; and imaging and indexing documents for retention. They also serve as the first point of contact with community members, assisting customers both on the phone and in person. The ability to communicate with our customers in both English and Spanish is a plus. Successful candidates generally have experience with or the ability to achieve proficiency with a wide range of computer software systems.
Additional information on job responsibilities:
  • Process incident case reports including reviewing records for completeness and appropriateness, obtaining corrected information or incomplete information for case reports as necessary.
  • Collate and distribute reports to various sections, divisions, and outside agencies according to established procedures
  • Evaluate citations, police incident reports and related Police Records to determine what information is necessary to codify and enter information into the appropriate database
  • Review and process requests for public records
  • Provide front counter reception work; respond to a variety of inquiries concerning police record information

What are the minimum qualifications?
  • Must pass pre-employment background check, and pre-employment drug testing (including marijuana).
  • Must be able to work periodic overtime and a variety of 24-hour rotating shifts, including holidays, nights, and weekends.
  • Must type 40 wpm with 95% accuracy
  • High School Diploma / GED and post High School training in clerical, or business field, and experience.
  • A minimum of 2 years of clerical experience involving accurate and confidential data review and computer operation in a busy office setting, OR any combination of experience and training that demonstrate possession of the knowledge, skill and abilities as listed, and ability to perform the examples of work.
Certifications/Licenses
  • Typing certificate
  • Criminal Justice Information System clearance and Law Enforcement Data System certification within 30 days of hire (clearance must be maintained throughout employment)
  • Employees are required to apply/retain Notary Commissions after appointment and assist with notarizing documents
Preferred Qualifications
  • Prior experience in law enforcement field
  • Preference may be given to Bilingual candidates who demonstrate English/Spanish skills and candidates may qualify for a 5% bilingual incentive pay
