The Position

We are looking for candidates with great attention to detail and accuracy, a strong understanding of privacy and confidentiality, excellent communication skills, and a commitment to public safety.
The Police Records Specialist answers phones, does data entry, and performs other clerical work for the Beaverton Police Department. You'll need knowledge of standard office software (word processing, spreadsheets) and equipment, basic understanding of civil and criminal laws, and strong customer service skills.
The Beaverton Police Department Record Division operates 24 hours every day, 365 days a year. Records Support Specialists must be able to work day, mid-day, evening, and overnight shifts, including weekends and holidays. Employees are compensated 8.6667 hours additional per month in lieu of holiday pay. Shifts are chosen by seniority after completion of probation. Shifts are chosen in the fall for the following year and rotate in January, May, and September.
A background investigation will be conducted prior to a job offer and the hiring process, including background investigation, will take several months.
This is a full-time, non-exempt, Beaverton Police Association-classified position. There are multiple vacancies.

Responsibilities
  1. Support Police officers and other department employees: Assist officers, handle class, collect fees, manage mail, and assist with after-hours property releases.
  2. File and database management: Use database systems such as LEDS and NCIC to query, confirm, clear, and locate critical items, including warrants, stolen vehicles, and criminal history. Maintain filing systems and databases, ensuring that confidential files are secure. Locate records in response to time-sensitive requests from officers in the field.
  3. Police reports: Read, write, and organize police reports.
  4. Public record requests: Process requests and ensure that protected information is not released.
  5. Confidentiality: Handle sensitive information securely
  6. File maintenance: Create, manage, and process files, logs, and records.
  7. Monitoring: Use cameras to monitor building entrances and gates, as well as people in holding cells for safety, alerting officers to any concerns.
  8. Sex offender registration: Register sex offenders on behalf of the Oregon State Police.
  9. After-hours calls: Take after-hours calls for City of Beaverton services, including water and traffic. Contact on-call staff as needed.
  10. General office and administrative tasks: Transcribe recordings, distribute materials, order office supplies.
  11. Customer service: Provide consistent and positive customer service through problem-solving for internal and external customers. Provide information to external customers regarding city policies, procedures, and laws.

Qualifications
Minimum Qualifications:
  • High school diploma or GED, and
  • Two years' office or clerical experience; or
  • An equivalent combination of education and experience enabling the incumbent to perform the essential functions of the position.
Licensing and special requirements
  • Law Enforcement Data Systems (LEDS) certification required within 30 days of hire.
  • Criminal Justice Information Systems (CJIS) fingerprints must be completed and cleared prior to start date. Testing must occur within 30 days of hire to receive the CJIS certification.
  • Ability to obtain Oregon Notary Public commission after hire.
  • Ability to satisfy the requirements of a pre-employment drug screen.

Compensation
Wage range: $24.38 - $32.68 hourly
Starting rate will be determined depending on relevant work experience as outlined in the Equal Pay Act. New hires who meet minimum requirements will start at step one. Higher steps may be offered to those who have additional years of directly related experience to the position within the posted wage range.
