Job Summary:
We are seeking a highly competent and detail-oriented individual to fill the position of Personal Bookkeeper and Executive Assistant. This role requires exceptional bookkeeping skills, a strong understanding of business finances, and the ability to assist the CEO's wife with various personal and administrative tasks. The successful candidate will be responsible for managing financial records, payroll, and providing support to both the CEO and their spouse. This is a part time position that will require 5-10 hours per week with a guaranteed minimum pay of $500/mo regardless of hours worked.
Responsibilities:
1. Bookkeeping and Financial Management:
- Maintain accurate and up-to-date records of personal and business financial transactions.
- Track income, expenses, and cash flow to ensure financial stability and adherence to budgets.
- Prepare financial statements, reports, and analysis for review by the CEO and relevant stakeholders.
- Manage accounts payable and receivable, ensuring timely payments and collections.
- Collaborate with external accountants and tax professionals to facilitate smooth tax preparation and filing processes.
2. Payroll Administration:
- Oversee payroll processes, including calculating wages, deductions, and bonuses.
- Ensure accurate and timely payment of salaries to employees.
- Monitor and comply with local labor laws, tax regulations, and payroll reporting requirements.
- Address any payroll-related concerns or discrepancies promptly and professionally.
3. Executive Assistance:
- Provide administrative support to the CEO's wife, managing her calendar, scheduling appointments, and making travel arrangements.
- Assist with personal errands, including shopping, event planning, and household management.
- Handle correspondence and maintain effective communication with various stakeholders.
- Conduct research, prepare reports, and assist with special projects as assigned.
Requirements:
- Bachelor's degree in finance, accounting, or related field preferred but not required.
- Proven experience in bookkeeping, financial management, and payroll administration.
- Proficient in using accounting software and tools, such as QuickBooks or similar applications.
- Strong analytical skills and attention to detail to ensure accurate financial records.
- Excellent organizational and time management abilities to handle multiple tasks simultaneously.
- Discretion and professionalism in dealing with sensitive personal and financial information.
- Exceptional communication skills, both verbal and written.
- Ability to work independently and collaboratively in a fast-paced and dynamic environment.
This position offers a competitive salary along with the opportunity to work closely with the CEO and their spouse. Most of the work will be able to be accomplished remotely with a the possibility of 1-2 hours a month in person.
