Job Summary:
My client is looking for The Personal Assistant to their CEO, this candidate plays a critical role in supporting the Chief Executive Officer in their day-to-day operations and ensuring smooth functioning of their administrative tasks for both her companies . This position requires a high level of organization, discretion, and professionalism, multitasking as well as excellent communication and time management skills.
Key Responsibilities:
1. **Calendar Management**: Manage the CEO's calendar, including scheduling appointments, meetings, and conference calls. Coordinate with internal and external stakeholders to ensure efficient use of the CEO's time.
2. **Email Correspondence**: Monitor and manage the CEO's email inbox, draft responses as appropriate, and prioritize incoming messages based on urgency and importance.
3. **Travel Arrangements**: Arrange all travel logistics for the CEO, including flights, accommodations, ground transportation, and itinerary planning. Anticipate travel needs and proactively address any potential issues.
4. **Meeting Preparation**: Assist in preparing materials for meetings, including agendas, presentations, and supporting documents. Attend meetings as needed to take minutes and track action items.
5. **Communication Liaison**: Serve as a liaison between the CEO and internal departments, as well as external partners, clients, and stakeholders. Relay messages accurately and ensure timely follow-up on action items.
6. **Documentation and Filing**: Maintain organized electronic and physical filing systems for important documents, contracts, and correspondence. Ensure confidentiality and security of sensitive information.
7. **Expense Management**: Process expense reports and reimbursements for the CEO in a timely manner, keeping accurate records of all expenses and receipts.
8. **Project Coordination**: Assist in coordinating special projects and initiatives as assigned by the CEO, including research, data analysis, and collaboration with cross-functional teams.
9. **CEO Office Management**: Oversee appointments, CEO office operations and supplies, including ordering office supplies, coordinating maintenance requests, and managing vendor relationships for the CEO.
10. **Executive Support**: Provide ad hoc support to the CEO as needed, such as personal errands, event planning, and other miscellaneous tasks.
Qualifications:
- Bachelor's degree preferred, or equivalent combination of education and experience.
- Proven experience as an executive assistant or similar role, supporting executives.
- Excellent organizational and multitasking abilities, with strong attention to detail.
- Advanced proficiency in Microsoft Office Suite and other relevant software applications.
- Strong written and verbal communication skills, with the ability to interact professionally with individuals at all levels.
- Discretion and confidentiality in handling sensitive information.
- Ability to work independently with minimal supervision and thrive in a fast-paced environment.
- Flexibility to adapt to changing priorities and deadlines.
- Previous experience in the healthcare or education sector is a plus.
