As the Permit Services Coordinator, you will:
- Coordinate, administer, and route all projects through the building permit review process and serves as a single point of contact for customers to assist and provide guidance through the process from beginning to approval of commercial building permit applications; route all documentation to multidisciplinary departments such as Public Works, City Engineer, Economic Development, Police, Fire, APS, Utility Companies, and other entities.
- Provide information at the counter, by telephone, and through correspondence in response to relatively routine questions regarding building ordinances and codes, building permit application process, and procedures.
- Establish and maintain project review timelines and schedules; monitor review times for all plan submittals with established department and state standards; follow up with reviewers on late plans as necessary.
- Assist the public in completing applications and other necessary forms.
- Review applications; accept construction plans and plan documents for permit processing, and calculate fees for plan check, building, plumbing, mechanical, electrical, and other types of building permits that require inter-departmental review or the services of Building Inspectors.
- Review, approve and issue less complicated non-structural plan checks over the counter.
- Review applications for accuracy, completeness, and compliance with established timelines; Follow the state timelines including notifying the applicant within the administrative review, first review, and second review timeframes. Route construction plans for appropriate departmental personnel to check for administrative completeness.
- Utilize information systems as required in the processing, filing and managing records associated with applications, permits, and other systems as required.
- Research, compile and analyze data for special projects and various reports.
- Maintain manuals and update resource materials.
- Recommend and participate in implementation and improvement of policies and procedures.
- Calculate plan check and permit fees.
- Prepare monthly reports for division.
- Maintain a variety of building and planning related records.
IDEAL CANDIDATE
Possess the knowledge of:
- Modern office practices and procedures including computer literacy to include use of specialized permitting programs, electronic spreadsheets and word processing applications, and records management practice.
- Building plans, code, ordinances, and related terminology; architectural drawing principles, maps, construction plans and specifications, and what comprises a complete set of building plans.
- Pertinent local state building, zoning, engineering, and planning codes and regulations related to permit process and development timeframes.
- Architectural, planning, and engineering terminology related to plan review.
- Operation of office equipment and performing accurate mathematical calculations.
Have the ability to:
- Coordinate and prioritize multiple tasks, projects, and program activities.
- Use automated information systems to develop and maintain databases, spreadsheets, and documents.
- Research and compile information to write reports and make recommendations.
- Interact with the public and provide professional customer service.
- Establish and maintain effective working relationships with customers, contractors, the public and City staff.
- Pass an extensive background check.
MINIMUM REQUIREMENTS
Education, Training and Experience:
- High School Diploma or GED equivalent required; AND
- Two (2) years of experience working in a building or planning department with one year of experience in computerized building permit application processing; OR
- Any equivalent combination of education, training, and experience that provides the requisite knowledge, skills, and abilities for this job.
- Residency in the United States and within 25 miles of the City of San Luis.
Licenses and Certificates: must be maintained throughout employment.
- A valid Arizona driver's license at the time of appointment
- Possession of ICC Permit Technician Certification within the first six months of employment
Desired/Preferred:
- Associate degree or college coursework in related field
- Bilingual in Spanish
