Our client, a family-owned Transportation & Logistics company in South Jersey is seeking a People & Culture Coordinator to join their growing team. This role is designed to ensure all areas within People and Culture are supported in a meaningful way. Our People and Culture Coordinator will also have the opportunity to create, manage, and lead a robust team member engagement strategy to ensure the company remains a place each one of us feels like we belong to. This is a hybrid role, seeking local candidates.
Role and Responsibilities:
Onboarding
  • Collaborate with the People and Culture department to manage the onboarding process to ensure new team members are consistently and efficiently integrated into the company in a meaningful way.
Team Member Engagement
  • Proactively manage greeting cards, gift cards, and milestone celebration processes for team member life events to promote a culture of belonging.
  • Collaborate with Marketing, and management when needed, to ensure team member work anniversaries are timely and efficiently celebrated according to process to ensure team members feel they are contributing to meaningful work outcomes.
  • Manage and coordinate all company events, activities, and gifts for HQ, remote, and contracted team members to help maximize team member engagement and enhance a culture of belonging.
  • Recommend events and activities to help team members feel connected as a company, regardless of location.
  • Collaborate with Marketing to ensure Times effectively communicates timely, relevant, and informative People and Culture updates and action items to retain talent and promote a culture of belonging.
  • Promote, manage, and continuously find ways to enhance the company's team member recognition program to reward team members demonstrating core values and culture connectors in daily operations to ensure team members feel they are contributing to meaningful work outcomes.
Talent Acquisition
  • Manage a complex and high-volume interview calendar for all open positions both cross-departmentally and across multiple time zones to ensure a consistent excellent candidate and hiring team experience to support the company's growth needs.
  • Proactively act as a liaison with candidates and hiring team members to drive consistent, timely, and effective communication to create external cultural ambassadors.
  • Manage interview guides for each role in the company to support the talent acquisition strategy and ensure the company has the expertise to meet service demands and emerging opportunities.
  • Attend all hiring team meetings to stay informed of current talent acquisition processes to schedule interviews, update interview guides, and manage Caliper assessment process and references process, as needed.
  • Identify and participate in networking and industry-related events, recruitment events, and on-campus activities to promote the company's core values, culture connectors, training and development strategy, and strategic plan to build and strengthen a passive and active talent candidate pipeline.
  • Collaborate with Marketing to create and manage promotion strategies to highlight current openings and workplace culture to attract high-caliber talent.
Legal and Compliance
  • Proactively manage Labor Law posters process to ensure the company is meeting all state and federal requirements across all team member locations.
  • Ensure all People and Culture procedures, work instructions, and documentation are in accordance with federal, state, local laws, and guidelines, as well as ISO-9001.
  • Collaborate with PCS to manage the communication with team members and managers regarding state, federal, and company Leave of Absence (LOA) benefits, eligibility requirements, action items, and length of time parameters to help manage team member approved LOA benefits.
Employee Relations
  • Ensures all People and Culture initiatives promote an understanding of the company's core values and culture connectors to foster a culture of belonging and align with strategic goals.
  • Manage the performance review process in HRMS, as well as the communications to all team members and managers, to support the Performance Management Process strategy.
  • Continuously update the organizational chart and manage communication of updates regularly to the company to maximize transparency into organizational role changes.
  • Ensure incentive plan documents and job descriptions for each role are up to date in DMS to support transparency in all roles for team members.
  • Process team member promotion and job change letters as needed.
  • Ensure all team member inquiries, concerns, and requests are prioritized to maintain an excellent team member working experience with the People and Culture department.
  • Manage company travel request procedure to support training and development strategy and employee engagement initiatives.
  • Manage HQ processes. including but not limited to, dog day rotation scheduling and cleaning rotation scheduling.
Total Rewards
  • Proactively, effectively, and creatively collaborate with the People and Culture Specialist to inform team members of all opportunities, changes, and important dates in total rewards plans to help retain and attract top talent.
  • Collaborate with Marketing to create a promotion strategy to highlight total rewards program to retain and attract top.
  • Develop and manage a total rewards newsletter that demonstrates the company's care for team members' emotional and physical wellbeing and recommends and manages wellbeing initiatives as needed.
Human Resources Management System
  • Update HRMS data when needed and serve as support for team members navigating the system.
Qualifications and Education Requirements
  • Bachelors Degree or equivalent work experience
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Working understanding of human resource principles, practices and procedures.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced environment.
  • Proficient with Microsoft Office Suite or related software.
Preferred Skills
  • 1-2 years of Human Resources experience
  • Experience in HRMS platforms, specifically Namely
  • Experience in ATS Platforms Specifically JazzHR
  • Transportation Industry experience
