GENERAL FUNCTION
As part of the HR Operations Team, the Specialist-Payroll employee performs a variety of duties to support the HR and Payroll functions for associates in North America. This role also provides exceptional customer service and problem resolution while maintaining strict confidentiality of information at all times.
MAJOR DUTIES AND RESPONSIBILITIES
- Primary responsibility of helping with the execution and accuracy of US Bi-weekly disbursement of multi-state payroll, including garnishments, benefits and taxes to 40,000 employees consistent with federal and state wage and hour laws
- Assist with the execution and accuracy of Canadian Bi-weekly and US Weekly disbursement of multi-state payroll, including garnishments, benefits and taxes to 5,000 employees consistent with federal and state wage and hour laws
- Interacts with various departments internally (Benefits, Compensation, HRBP, Legal, Compliance, Store Operations, Accounting and IT) and with external vendors.
- Appropriately maintains and secures confidential records and inquiries.
- Assists with guiding and providing advice to payroll coordinators.
- Maintains knowledge of all payroll and Human Resource policies and procedures including a comprehensive understanding of various PTO, Sick, and Holiday plans to ensure accuracy of accruals and payments.
- Adheres to applicable state, local and federal laws, rules, and regulations.
- Supports Manager and Associate self-service to ensure data integrity through ongoing audits.
- Ensures all new hires and terminations are processed in all systems.
- Supports the brands by acting as the contact for escalated issues
- Resolves and corrects timecard errors in compliance with state regulations
- Researches errors and determines need for On Demand checks
- Addresses inquiries from internal employees, stakeholders, or regulatory agencies regarding payroll issues
- Sets up standard reports to run automatically for distribution, and creates Ad hoc reports as needed for legal, compliance, tax and other business partners
BASIC QUALIFICATIONS
- Associates degree in Human Resources or equivalent combination of education and experience required
- 2+ years HR experience required
- Previous experience with reporting, data analysis or payroll
- Proficiency using Microsoft Excel, Word
- Requires leadership, initiative, analytic, investigative and attention to detail skills
- Trustworthiness with confidential information
- Positive attitude and a team player
- Must be comfortable with engaging in a variety of different communicative modes (verbal and written) and being attuned to others through strong active listening skills.
PREFERRED QUALIFICATIONS
- Bachelor’s degree or equivalent experience preferred
- 2+ years HR Payroll experience preferred, ideally utilizing ADP’s GlobalView system.
- Previous experience with reporting, data analysis or auditing required.
- Strong attention to detail, critical thinking and analysis skills.
- Excellent teamwork, verbal and written communication skills are essential.
- Ability to work effectively with all levels of management, staff, customers, and vendors.
- Multi-state payroll processing experience
