Payroll Coordinator
Full Time - Days
**Starting Pay Rate up to $25/hour; based on experience**

Requirements for a Payroll Coordinator:
- High School Diploma or GED.
- Prior experience in payroll.
- Accounts payable experience preferred.
- Knowledge of payroll software, tax laws relative to payroll, and general office procedures, filing, ability to use an adding machine and experience with computers in necessary.
- Experience with Microsoft Office.
- Organizational skills, attention to detail, ability to communicate, ability to work independently.
Responsibilities for a Payroll Coordinator:
Time & Attendance System
- Updates and maintains Time & Attendance System on an ongoing basis.
- Processes Payroll Punch Adjustment Forms in the Time & Attendance System.
- Adds and deletes staff members in the Time & Attendance System including changing staff member information in an accurate and timely manner.
- Inputs paid time off hours to the Time & Attendance System based on requests received from supervisors and availability of unused hours, including crediting holiday time to all eligible staff members.
- Transfers hours from Time & Attendance System to Payroll System for check processing.
- Train and educate Business Office staff on all time and attendance system procedures and responsibilities.
Payroll
- Ensures that all staff member payroll information is protected and kept confidential.
- Maintains payroll records and revise as required and directed.
- Maintains a staff member master file for each staff member in an accurate and timely manner along with adding, deleting and changing staff member information as required.
- Processes personnel change forms in an accurate and timely manner.
- Prepares and distributes payroll checks along with inserts in an accurate and timely manner as required.
- Investigates hour & salary concerns and notify staff members of action taken.
- Calculates unused paid time off-hours in an accurate and timely manner.
- Calculates earned paid time off for each staff member based on anniversary date and years of service in an accurate and timely manner.
- Prepares and submits various payroll related reports in an accurate and timely manner as required and directed.
- Runs various payroll reports as requested by administration.
- Prepares the various tax reports throughout the year.
- Prepares and distributes W-2's.
- Protects payroll records from loss, defacing or destruction during retention period.
- Tracks hours by department, tracking department transfers and skilled unit hours and dollars.
- Assigns and maintains paid time off hours and verify accuracy of the paid time off accrual on the payroll system.
- Creates and sends direct deposit via personal computer to the bank on a bi-weekly basis.
- Calculates and tracks employee anniversary dates that change due to leave of absence or position changes.
- Follows-up on open payroll checks that have not cleared the bank in a timely manner as directed by the accountant.
- Reconciles all payroll related general ledger accounts on a monthly basis.
- Train and educate Business Office staff on all payroll procedures and responsibilities.
Accounts Payable
- Matches receiving tickets and purchase orders with invoices and verify quantity, price and account number.
- Prepares checks, invoices and pays authorized bills.
- Maintains a neat, organized file of purchase orders, invoices, cancelled checks and paid invoices.
- Follows-up on open accounts payable checks that have not cleared the bank in a timely manner.
- Prepares and distributes 1099's.
- Protects accounts payable records from loss, defacing or destruction during retention period.
- Keeps track of invoices for the month end accrual.
