BIG PICTURE:
We are seeking a hands-on Human Resources Payroll Specialist to execute, oversee, and evaluate day-to-day activities. This individual will be responsible for processing Dhar Mann Studios and LiveGlam semi-monthly payroll, maintaining employee data, handling payroll questions, and overseeing the payroll process. In addition, they will be responsible for managing all the money that flows out of the company in a professional, timely, and knowledgeable manner. This position oversees the daily management of all processes associated with payroll, reimbursements, and vendor invoices. This individual must have expert-level knowledge of Quickbooks Online. The ideal candidate is extremely organized, possesses exceptional mathematical skills, and has meticulous attention to detail.
This individual will also have an in-depth understanding of human resources best practices and knowledge of state, local and federal labor laws. The ideal person will plan, lead, direct, develop, and coordinate the policies, benefits, oversee the company insurance plans all while ensuring legal compliance and implementation of the organization's mission and talent strategy. Ultimately, this individual will thrive in a fast paced and rapidly growing environment with a strong ability to work independently on a broad variety of projects.
HOW YOU’LL SPEND YOUR TIME:
Human Resources
- Overseeing and ensuring that our employee files are being kept up to date and organized
- Organizing and scheduling new hire orientations and onboardings
- Handling all state and federal paperwork requests in a timely fashion (ie; unemployment claims, and employment verifications)
- Researching and staying current with local, state and federal regulations and laws
- Overseeing all company insurance policies such as workers compensation and general liability
- Acting as a liaison between the organization and external benefits providers and vendors, which may include health, disability, and retirement plan providers
- Creating all company policies, recommending new ones and ensuring they are staying up to date
- Maintaining knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law
- Overseeing employee disciplinary meetings, terminations, investigations, and offboardings
Payroll & Finance
- Collecting, verifying, and processing timekeeping/payroll for approximately 100+ employees between multiple payrolls
- Analyzing pre-processing reports to ensure appropriate pay; timesheets, benefit deductions, bonuses, PTO submissions, expense report reimbursements etc.
- Processing accurate and a timely payroll (semi-monthly)
- Processing all company payments via direct deposit, PayPal, wire transfers, and or credit cards
- Working with Finance and HR to create and maintain seamless end to end processes within onboarding and offboarding
- Developing, implementing, and maintaining systems, procedures and policies, including accounts payable functions to ensure adherence to company guidelines
- Downloading bank and credit card transactions into Quickbooks daily and reconciling all records monthly
- Monitoring payroll records for inconsistencies and providing guidance for the correction process to appropriate Finance and HR team members
- Classifying expenses correctly and recommending new classifications when necessary
- Auditing vendor invoices to ensure accuracy and disputing any discrepancies
- Managing monthly closing of financial records and posting of month-end information; ensuring accuracy of financial statements
- Monitoring company spending for adherence to budget and recommending variances as necessary
- Reviewing employee expense/reimbursement reports to ensure compliance with company policies
- Maintaining all vendor records, including contracts and W9s
WHAT YOU HAVE:
- A minimum of 2 years working as a Payroll and Human Resources specialist or similar role within an entertainment production studio; preferred but not required
- Must have 2 years of experience processing payroll within Quickbooks Online
- Ability to maintain confidentiality in all financial matters and maintain a high level of integrity
- Sense of urgency and ability to adapt and problem solve
- Strong organizational, analytical, and problem solving skills
- Attention to detail and a great communicator across all levels of management

The Human Resources Payroll Specialist will report directly to the Senior Manager

Currently, has no personnel reporting directly to him or her

All the action takes place at our studio in Burbank, CA!
