The Office Assistant is responsible for aiding the Director, Assistant Director and Office Administrator in the day-to-day administrative duties in the department. Responsibilities include assisting the department with administrative tasks, scheduling and administering events, and meetings; compiling research for programs; locating resources and information for the residents the department serves; communicating with outside organizations via email, phone, and in-person. The office administers several yearly programs, such as Large food Distributions, Holiday specific distributions, the Green Living and Wellness Fair, along with monthly senior events, and other creative projects. Part-time 29 hours per week. There is the occasional need to work outside of the normal 8am-4:30pm timeframe. This public-facing position requires excellent customer service and problem-solving abilities.
- Coordinating with the Director, Assistant Director and Office Administrator on events, projects, research, and programs.
- Assisting residents with requests and concerns
- Responding to emails and phone calls
- Collaborating with committees and other departments
- Provide administrative support to Director, Assistant Director and Office Administrator
Knowledge, Skills & Abilities- High School diploma or equivalent
- Outstanding customer service skills
- Excellent oral and written communication skills
- Knowledge of Google Applications: Docs, Sheets, Calendar, Drive, Mail
- Knowledge of Canva
- Ability to maintain a high level of confidentiality
- Bi-Lingual in Spanish (preferred)
The employee must have the capability to lift and/or move up to 40 pounds
Ability to sit and stand for long periods
Able to work in a variety of weather conditions including: heat, cold, sun and rain Clearance of a background check
CPR/AED certification (preferred)
Valid New Jersey Driver's License
