Our client, a growing furniture and design company based out of Irving, TX is looking for a part time Office Assistant/AP Specialist to join their team. This position will work 20-30 hours per week in office - the team can be flexible with which days and times you're in office as long as your schedule is consistent. About the role:

Primary Responsibilities:
- Answer incoming calls to the property
- Processing of invoices in Accounts Payable every week
- Managing vendor communication and relationships
- Providing excellent customer service to internal and external customers
- Working closely with the Design Coordinator on product orders
Skills and Experience:
- Well-developed organization skills

- Interest and ability to take proactive ownership of tasks
- Knowledge of administrative and clerical procedures and systems such as word processing, managing filed and records, accounts payable and other office procedures
- Some AP experience

Specific Responsibilities:
Accounts Payable
- Complete credit applications for new vendors
- Maintain the vendor credits and follow up when necessary
- Reconcile the vendor monthly statements and resolve issues
- Create freight purchase orders
- Create “bills” in Storis for each invoice preparing for posting
- Stamp and mail checks to vendors
- File vendor paid invoices
- Compile the credit card payments and post in Storis
- Manage the Cash Requirements sheet
- Allocate the American Express charges to expenses
- W-9 requests and follow up for new vendors
General Office
- Federal Express requests
- Office supply orders
- Arrange for donation of products when directed
- Maintain the cleanliness of the fridge and microwave
- Manage the postage machine – add funds
- Arrange the shredding schedule as necessary
- Answer the phone for incoming calls
- Get the mail and distribute
- Announce checks from clients to the design team
- Assist with the monthly accounts receivable
- Assist with the maintenance and function of barcode scanners, label printers, phones, computers, copier and printers
Design Related
- Accessory invoices
- Designer travel invoices
Warehouse Related
- Liaison to the warehouse for barcode scanners
- Assist with inventory
Job Type: Part-time
Pay: $20.00 - $25.00 per hour
Expected hours: 20 – 30 per week
