Paragon Systems is hiring for the position of Administrative Assistant for our contract in the Covina, CA. Any interested candidates must be individuals of unquestionable integrity who display a mature attitude and exercise good judgment. The Administrative Assistant is primarily responsible for maintaining employee personnel files and training documents as well as maintenance of TAMS database and supporting office and training departments. The Administrative Assistant serves as the principal liaison between the community and the training department and government.
ESSENTIAL DUTIES AND TASKS:
Maintain employee personnel files
Maintain TAMS database
- o compile employee data and enter into TAMS database, run audits and ensure government compliance
Generate training exhibits and documents
Maintain Matrix - accurate data entry
- o send spreadsheet of expiring permits to supervisors
- o maintain suspensions/violations tracker
- o create bid spreadsheet
Work with trainers regarding training schedule by creating rosters and spreadsheets
Send reports to government as needed (exit CIWs)
Promptly respond to emails
Various administrative duties such as filing, faxing documents, and data entry
Verify weekly count (active v. inactive PSOs)
MINIMUM QUALIFICATIONS:
Must be a U.S. citizen
At least 18 years of age
High School Diploma
Work authorization: United States (Preferred)
3+ years of experience in Administrative Support
MS Office 365 (including Word, Outlook and Excel (intermediate or advanced)
H/R experience (personnel files)
Accurate data entry and time management skills
Must work well independently.
Knowledge of government contracting software or TAMS software a plus
Excellent verbal and written communication skills with government, staff, and the public
Strong interpersonal skills
Must have courteous telephone manner.
Understand and follow standard operating procedures, to perform duties in a professional manner
Good judgment decisions within proper policy and procedures
Job Type: Part-time (20-30 hours per week)

Wage range for this position is $30.00 to $33.30

The paid leave for full time employees is from 80-160 hours / year based on longevity in the position, and sick leave is a minimum of 48 hours per year for a full-time employee
