Davis & Company CPAs, a specialized, boutique public accounting firm located in Mount Pleasant, SC, is looking for a part time Administrative Assistant to join our virtual CPA firm. This position supports the Firm President and 5 additional staff, serves as a liaison to our external clients and relieves the administrative burden from our client-facing team. The team member needs to present a professional demeanor and represent the firm's mission, vision, and values appropriately.
Essential Functions:
- Provide professional administrative support for the President and team.
- Demonstrative effective and consistent communication with team and clients.
- Develop an understanding and proficiency in using firm applications and software
- Prepare, format, edit, quality check, and/or process proposals, engagement letters, engagement reports and other correspondence using standard firm templates and in accordance with company guidelines.
- Format and foot externally prepared client financial statements, letters, and other deliverables in accordance with firm standards
- Add completed deliverables to client binders and assist with lockdown of binders.
- Set up new client information in our practice management software in accordance with company guidelines.
- Maintain confidentiality of client and firm matters.
- Identify and implement continuous improvement opportunities.
- Strong computer skills, with intermediate proficiency in MS Word, Excel, Adobe, Power Point QuickBooks Online and Outlook.
- Strong organizational skills and the ability to prioritize effectively.
- Manage multiple calendars and schedule appointments
- Organize and maintain confidential client files in our file server
- Assist Firm President and Senior Audit Manager with workflow scheduling of client work with the team
- Perform regular follow up with client for information based upon agreed upon timetables.
- Knowledge of office practices and procedures including but not limited to making and receiving calls and scheduling client and team meetings.
- Self-motivated with excellent time management skills and ability to multi-task and prioritize work through communicating with the team.
- Additional duties as assigned.
Qualifications:
- Associate's degree or equivalent experience
- At least 3 years of work experience.
- Previous CPA firm administration experience a plus but not required.
- Strong grammar and punctuation skills.
- Attention to quality, with an eye for accuracy and detail.
- Exceptional proofreading skills.
- Flexible and able to work independently.
- Excellent written and verbal communication skills.
- Strong team player.
- Ability to communicate effectively with all levels of personnel.
- Project coordination experience
- Sensitivity to confidential information
- Excellent time management skills and ability to multi-task and prioritize work
- Self-motivated and demonstrates initiative with the ability to make suggestions and recommendations based upon research and experience
