If this sounds like you – we are looking for you! PTG is actively recruiting for an Executive Assistant to work in our admin department. This role will report directly to the Chief Financial Officer - but will work hand in hand with other team members and with our customers!
Responsibilities:
· Assist executive team with travel plans and manage executive’s calendar, including making appointments and prioritizing the most sensitive matters
· Ensure kitchen is stocked with food and supplies.
· Manage office supplies including having supplies on hand and ordering as necessary.
· Organizing internal events, including planning, scheduling, set-up, ordering catering and supplies (as necessary).
· Assist with marketing activities such as mailers, internal signage, and other administrative marketing tasks.
· Answering phone calls in a polite and professional manner.
· Receiving and welcoming visitors.
· Shipping and receiving packages.
· Collecting mail and reporting on checks received.
· Assist with cell phone provisioning.
· Schedule maintenance for company owned vehicles.
· Manage office cleaning company.
· Other duties as assigned.
Qualifications:
· Bachelor’s degree and 1-2 years of professional office work experience as an executive assistant or equivalent combination of education and experience.
· Strong time management skills and the ability to meet deadlines.
· Excellent verbal and written communication skills.
· Strong proficiency in Microsoft Office (Excel, Word, Outlook)
· Strong organizational skills and interpersonal/communication skills; must be able to manage and prioritize multiple business objectives and projects with the proper sense of urgency.
