Upstate Piping is a commercial construction company in Elmira NY. We perform installation and fabrication of piping, HVAC and plumbing systems on large scale construction projects throughout the Twin Tiers. Our company has grown steadily over the last 3 years, and we continuing to grow and expand our operations. We are currently looking to add office talent to the best mechanical team of pipefitters, sheet metal workers, and welders in the business.
Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in supporting our daily operations and ensuring smooth workflow. This is an excellent opportunity for someone who is proactive, efficient, and enjoys working in a fast-paced environment.
Responsibilities:
- Provide administrative support to the team, including managing calendars, scheduling appointments, and coordinating meetings
- Answer phone calls and respond to emails in a professional and timely manner
- Assist with file management, including organizing and maintaining both physical and electronic files
- Perform data entry tasks accurately and efficiently
- Coordinate projects and assist with project management tasks as assigned
- Greet visitors and provide excellent customer service at the front desk
- Assist with order entry and inventory management as needed
- Perform general clerical duties such as photocopying, scanning, and faxing documents
- Act as a personal assistant to executives by handling various administrative tasks
Skills:
- Previous experience at a construction company, engineering or in a similar administrative role is preferred
- Strong organizational skills with the ability to prioritize tasks effectively
- Proficient computer literacy, including knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe
- Excellent communication skills, both verbal and written
- Attention to detail and accuracy in all work performed
- Ability to handle confidential information with discretion
- Strong problem-solving skills and the ability to work independently or as part of a team
- Flexibility to adapt to changing priorities and deadlines
