JOB PURPOSE or JOB SUMMARY:
Our fast-paced sourcing company is in need of an Order Processing Specialist to support the Global division account management staff. The successful candidate will be very detail oriented and proficient with data entry. The successful candidate for this role will also be responsible for handling correspondence with client and vendors to keep projects on track.
ESSENTIAL DUTIES and RESPONSIBILITIES:
Order Verification:
- Analyze incoming orders for accuracy, completeness, and adherence to company policies.
- Analyze and understand HTS codes, import duties, and tariffs
- Interpret proforma invoices, wire transfers, bills of lading, commercial invoices and packing lists
Data Entry:
- Accurately enter all order information including product information, pricing, quantities, and shipping addresses.
Order Tracking:
- Monitor the progress of orders throughout the processing cycle, from creation to fulfillment and delivery.
- Proactively identify and address potential delays or issues.
Communication:
- Collaborate with multiple departments, including sales, customer service, and logistics, to resolve order-related discrepancies or concerns.
- Keep customers informed about the status of their orders and provide timely updates weekly.
Problem Resolution:
- Identify and troubleshoot issues that may arise during Order Processing, such as inventory shortages, pricing disparities, or shipping discrepancies.
- Take prompt and effective actions to resolve issues.
Documentation:
- Maintain organized records of all order-related communications, changes, and updates.
- Ensure proper filing and easy accessibility of documentation for future reference.
Customer Support:
- Offer exceptional customer service by addressing inquiries regarding order status, shipping details, and product availability.
- Resolve customer concerns professionally and courteously.
Process Improvement:
- Identify and help to implement process changes and cost reduction opportunities within the logistics umbrella
QUALIFICATIONS:
- Understanding of general accounting principles and NetSuite software preferred
- Strong work ethic, high energy and motivated to support the customer
- Excellent communication and analytical skills
- Proficient in excel and data entry
- Strong attention to detail
- Ability to work independently
- Proficient time management in a fast-paced environment
- Excellent written and verbal communication skills.
- The ability to interact professionally at all levels
