The Operations Specialist provides essential support to various teams and functions within the organization in the areas of information systems, technology, operations, and administration. The ideal candidate has excellent organizational and communication skills, a commitment to lifelong learning, and a desire to serve others.

Core Functions and Responsibilities include:

• Act as the courteous and professional face of Avalon at the front desk, greeting guests and managing phone calls
• Receive, sort, and distribute mail and other deliveries
• Engage, onboard, and provide ongoing support for staff and volunteers participating in the front desk shift
• Provide package support, including processing returns and dealing with delivery issues
• Manage ordering and inventory of office, cleaning, and PPE supplies for all sites
• Ensure all the office spaces are running smoothly by identifying and resolving issues
• Manage electronic calendars for conference room use
• Coordinate with other Operations Specialists for requisitions related to new hires, position changes, or terminations
• Handle office key management and act communicate with office landlord as needed
• Conduct office safety walkthroughs
• Assist with various administrative duties, including event setup, office furnishing, supply orders, coordination of fire drills
• Visit site locations as needed

Desired Qualifications & Experience

• Minimum of one year of broad customer service experience, preferably related to administrative support
• Minimum of one year of relevant experience working in a dynamic, fast-paced office environment
• Strong working knowledge of applications and software such as Google Workspace, MS Office, Slack, DocuSign, Zoom, etc.
• Experience in staff training or teaching

Status: Full-time, Salaried Exempt

Starting Salary: $48,000 annually

Schedule: 9:00am to 5:00pm, Monday through Friday, in-office
