Responsibilities:
Strategic Support to CEO (40%):
- Collaborate closely with the CEO to strategically guide the team through initiatives and navigate challenges.
- Anticipate needs and proactively address issues to support the CEO in maximizing productivity and effectiveness.
- Develop and implement strategies to enhance the overall client experience, ensuring high levels of satisfaction and retention.
- Conduct research and gather feedback from clients to identify areas for improvement and innovation.
- Track and report on team goals, holding the CEO accountable for performance metrics.
- Conduct thorough analysis of monthly P&L reports to identify growth opportunities, adapting strategies accordingly.
- Manage commission statements, demonstrating problem-solving skills in addressing commission-related issues.
- Actively participate in weekly team masterminds and training sessions.
- Research, monitor, and integrate relevant training resources to enhance team capabilities and growth.
- Organize and execute team meetings, providing training sessions on pertinent initiatives and metrics.
Listing & Transaction Management Support (35%):
- Oversee administrative tasks to ensure seamless day-to-day team operations.
- Manage communication with clients throughout all stages of the transaction process.
- Strategically troubleshoot obstacles that may arise during client transactions, ensuring timely resolution and a clear path to closing.
- Provide coaching to team members on preparing offer paperwork, sending amendments, and submitting necessary supplemental documentation.
- Efficiently communicate with clients and agents to address inquiries and guide through administrative situations.
- Conduct thorough onboarding sessions to educate clients on the process, timelines, and expectations.
- Facilitate communication between title/attorneys, lenders, and co-brokers to ensure timely file closings.
Team Operations and Marketing Support (25%):
- Innovate and implement operational procedures to foster efficient and strategic team growth.
- Continuously seek opportunities to streamline processes, enhance efficiency, and improve organizational effectiveness.
- Develop and manage a comprehensive team marketing strategy for client events.
- Strategize and implement recruiting marketing processes to attract top talent.
- Research and manage social media marketing campaigns and accounts to effectively market and celebrate team successes.
Qualifications:
- Bachelor's degree in Business Administration, Marketing, Real Estate, or a related field preferred.
- Minimum of 2 years of experience in operations management, preferably in the Real Estate industry.
- Proven track record of strategic planning and execution, with the ability to drive initiatives from conception to completion.
- Excellent communication skills, both written and verbal, with the ability to effectively interact with clients, team members, and stakeholders.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously and meet deadlines.
- Demonstrated problem-solving abilities, with the capacity to identify issues, propose solutions, and implement changes effectively.
- Ability to thrive in a fast-paced, dynamic environment, with a proactive and adaptable mindset.
- Knowledge of Real Estate contracts, transactions, and processes preferred.
- Experience with marketing strategies and social media platforms is a plus.
- Must be able to work effectively both independently and as part of a collaborative team.
