As the first-face of our school, the Operations Manager will communicate in a professional, pleasant and informed manner. They are responsible for managing the daily operations of the school's front office and reception area, and helping ensure that school operations run smoothly each day.
Responsibilities:
- Greet, welcome, sign-in and direct current parents and guests to proper destinations
- Screen and direct incoming phone calls to the proper department
- Maintain a professional and tidy appearance of the Front Desk and Office, and the Lobby
- Support the staff and students: including but not limited to collaborating with the Administrative team on daily protocols and emergency procedures and provide information to the school community by phone, in person and by email
- Manage the Front Office, including: laminating, copying, filing, mailing, ordering supplies, entering student attendance daily, managing student records through physical files and our student information system
- Become the in-house expert on the copy machine, phone system, intercom system and laminator
- This position reports to the Director of Operations and is also accountable to the school's leadership team, which is composed of the CEO, Principal, Director of Climate & Culture, and Special Education Coordinator
- Maintain communication with Director of Operations to disseminate accurate and timely information to PMCS families
- Update and manage the School's website and social media postings
- Compose monthly newsletter PMCS Gazette
- Assist the Director of Operations with the student enrollment process, organizing paperwork, tracking completion and conducting follow-up calls
- Assist in preparation for special events such as open houses and fundraisers
- Place orders for departments and track the order process for the school
- Monitor various accounts, input billing information and submit for processing of payments
- Open and process all mail and distribute to proper staff members
- Support and enforce school-wide expectations for students during arrival and dismissal
- Coordinate daily student early pick up and dismissal transportation list for staff
- Close the school's front office area
- Other administrative duties as assigned

- Have strong-problem solving skills and be able to multi-tasks
- Experience providing administrative support to multiple people in a fast paced office setting
- Strong working knowledge of Google Apps and/or Microsoft Office, especially Word and Excel
- Experience with various database software
