Operations Coordinator
We are seeking a dedicated and detail-oriented Operations Coordinator to join our team and contribute to the efficient management of our horticultural retail operations. This role involves close collaboration with internal teams, external partners, by maintaining clear communication channels to ensure the smooth flow of operations.
Key Responsibilities:
Pre-Shipping Preparation:
- Monitor and track purchases on Purchase Orders (PO’s) to update the Spring Sales tracker and initiate plant tag orders.
- Create and manage Tag Inventory Spreadsheets, facilitating the timely ordering of plant tags for existing clients across all nursery locations.
- Oversee SKU maintenance for items to be shipped to clients, ensuring accurate product information and updates.
- Compile and maintain Ad Template information for clients, including SKU’s, price changes, and related details, in coordination with the Buyer.
Peak Shipping Seasons (Spring/Summer/Fall):
- Collaborate with the operations team to assist in the efficient preparation of store orders, ensuring accuracy and timely fulfillment.
- Coordinate special orders for customers, liaising with store personnel and Merchandising DM to arrange smooth shipment processes.
- Facilitate the organization of staging/loading procedures for shipments, ensuring all documentation is complete and accurate.
- Provide regular communication by emailing truck schedules to Merchandising teams, buyers, and DMs.
- Serve as a point of contact for customer service inquiries, addressing concerns from trucking deliveries, merchandisers, and store personnel.
- Facilitate the acquisition of key requisition numbers for purchase Order deliveries.
- Review and approve monthly merchandising reports for payment, ensuring accuracy and compliance.
- Accurately enter culls, adjustments, transfers, and other inventory-related transactions into the Customer Relationship Management (CRM) system.
- Support the coordination of various marketing events, company trips, luncheons, and related activities.
- Play a role in maintaining responsive office communication by assisting in answering incoming calls.
Qualifications:
- Proficient in using Microsoft Office Suite (Excel, Word, Outlook) and CRM systems.
- Strong organizational skills with a keen eye for detail.
- Effective communication skills, both written and verbal.
