The Operations Coordinator (Ops Coordinator) is responsible for leading, coordinating, and monitoring licensing, GuideStar clinical staff. This position is also responsible for leading, coordinating, monitoring, and maintaining facility onboarding and facility discharge. The Ops Coordinator will also provide in-house EMR support and reporting.
Essential Job Functions & Responsibilities
- The Ops Coordinator agrees to work as reasonably scheduled by Company.
- Manage flow and completion of facility onboarding and licensing paperwork.
- Keep accurate details of licensing requirements for each state that GuideStar works in.
- Create and maintain credentialing files for completion and presentation to client facilities and third-party vendors. Act as liaison with Scheduling Department to ensure compliance and delivery of required credentialing information before clinician is scheduled to a building.
- Maintain copies of current state licenses for all clinicians.
- Work with any contracted credentialing or licensing vendors to ensure clinicians are licensed or credentialed as required by GuideStar.
- Respond to internal and external credentialing inquiries as they arise. Assist clinical hires with licensing questions or needs.
- Assist with new facility onboarding from contract signing to completion of all CCC responsibilities.
- Provide project management of operations duties for facility discharge.
- Complete special physician projects as assigned
- Collaborate with COO and entire Ops team on special projects.
- Collaborate with HR Coordinator to ensure that all required credentialing, licensing, immunizations, and other records are kept up to date for current employees.
- Bachelor's Degree (preferred)
- 3+ Years of experience (preferred)
- 1+ Specific industry experience (preferred)
- Excellent interpersonal skills
- Very strong written and verbal skills
- Ability to deal with ambiguity; resilient and adaptable
- Track and organize work; ability to multi-task and meet deadlines
- Able to identify and resolve problems in a timely manner; gather and analyze information skillfully
- Strong customer service skills; cooperative and willing to assist others

- Maintain confidentiality regarding business and personnel matters; demonstrate discretion in interactions with company personnel.
- Independent thinking and ownership of assigned projects
- Able to pass background testing and drug screening.
