Description:
We are seeking a full-time experienced and organized Operations Assistant to support our team and contribute to the efficient operation of our office. The ideal candidate will have experience providing high level support to operations managers and executive staff. This role requires strong communication and organizational skills, as well as the ability to handle multiple tasks with accuracy and attention to detail.
Essential Duties and Responsibilities:
- Provide comprehensive administrative support to executives and team members, including managing calendars, scheduling meetings, and helping to streamline payroll and accounting procedures.
- Act as the primary point of contact for internal and external personnel, demonstrating professionalism and excellent communication skills.
- Draft and compose correspondence, communications, presentations, and other documents.
- Maintain and organize physical and digital filing systems, ensuring easy access to information and documents.
- Assist with project management tasks, including tracking deadlines, coordinating deliverables, and facilitating communication among team members.
- Manage office supplies and equipment, including inventory and supply management and procurement.
- Handle sensitive and confidential information with discretion and professionalism.
- Perform other duties as assigned.
Requirements and Qualifications:
- Proven experience as an administrative assistant or relevant administrative role and proficient in Microsoft Office Suite and other office management software.
- Excellent written and verbal communication skills and strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- High degree of professionalism and ability to maintain confidentiality and strong attention to detail and accuracy and ability to work independently and as part of a team, with a proactive and positive attitude.
- Familiarity with project management tools and software.
Physical Demands and Work Environment:
- Long periods of sitting at a desk
- Able to lift 20lbs.
