The DC Youth Orchestra Program (DCYOP) seeks an experienced Operations and Administrative Assistantto join our team. This is a full-time, exempt position with a yearly starting salary of $50,000 - $60,000, commensurate with experience. DCYOP is currently operating in a hybrid environment.

The Operations and Administrative Assistant is key in supporting the Operational effectiveness of DCYOP. This role supports Human Resources and financial management and assists the Executive Director. The Operations Assistant works closely with and Administratively supports the Executive Director.

MAIN AREAS OF RESPONSIBILITY

The Operations and Administrative Assistant will perform other duties as assigned in keeping with the general nature of the position.

Office & Vendor Management
Manages daily office operations for staff, coordinates vendors, and leads safety practices.

Administration, Billing & Finance
Provides support in financial management, expense tracking, and strategic planning.

Executive Director and Board Support
Provides administrative support to the Executive Director and Board of Directors, including meeting and event scheduling and research.

Human Resources
Supports the employee experience, including recruitment, employee file management, onboarding/offboarding, and staff culture.

Merchandising
Manages DCYOP branded merchandise and sales.

REQUIRED QUALIFICATIONS

Education:

Bachelor's degree in business administration, project management, or related field or equivalent professional hands-on work experience in a related field

Experience:

A minimum of 2 years experience in the following:

  • Finance and billing
  • Customer service
  • Leadership support role with project management responsibilities

Other required experience:

  • Proficiency in Microsoft Suite (Word, Excel, Outlook, Teams) and other software programs, including Zoom and Google. Demonstrated ability to learn and navigate new systems. Adequate knowledge of general office equipment and systems
  • Proven ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
  • A high level of judgment, the ability to take initiative and work independently, and a keen attention to detail.
  • Strong interpersonal skills with the ability to build relationships and interact effectively with individuals at all levels.
  • Excellent verbal and written communication skills, with the ability to draft professional correspondence and prepare polished presentations.
  • Ability to handle multiple “priority” projects simultaneously.
  • Skilled in developing and maintaining effective relationships with a diverse team, consultants, vendors, and other stakeholders.
  • Experience assisting with preparing standard administrative documentation, such as small purchase requests, training requests, visitor requests, VISA requests, travel requests, leave requests, etc.

Preferred Qualifications:

  • Knowledge and experience working with boards
  • Accounting and expense management software experience
  • Ability to develop, monitor, and analyze budgets
  • Human Resources and HRIS experience
  • Prior experience planning, organizing, and executing small- and large-scale meetings, training, and other events on short notice, including agendas and workshops within an established budget
  • Interest in orchestral music and music education.

Travel:

This position is expected to join DCYOP on its biannual international summer tours. Occasional domestic travel might be recommended for training, conferences, performances, or other relevant events.

Work Environment:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate. Noise levels can be loud, as expected in a music environment when working directly with classes or during performances. No or extremely limited exposure to physical risk.

We are seeking an experienced Operations and Administrative Assistant to join our team. This is a full-time, exempt position with a yearly starting salary of $50,000 - $60,000, commensurate with experience. DCYOP is currently operating in a hybrid environment.
